1. Autonomy and Freedom through Self-Management

We are a team driven by the need for freedom in and control over our lives. We believe in work/life balance, autonomy, purpose and results. We’re a team built on trust rather than rules, on self-management rather than hierarchy.

We are a remote team, and communicate using Slack and Google Hangouts. We don’t have set working hours. Instead you set your own hours based on what works for you and our clients. Need to work around looking after your kids? No problem. We don’t have a holiday policy. Instead, you decide when to take holidays, or you can travel and live in different places as some of our team does (as long as you have a decent internet connection and can overlap with our clients’ working hours). But working remotely can be lonely, and we will be there to share the ups and downs, and blast through problems and challenges as a team along the way (more on this below).

You will not be babysat or micro-managed, instead you’ll be accountable to the rest of the team purely on your results. You’ll be supported and and assisted by other members of the team to ensure you’re spending your time on the most valuable activities. You’ll be responsible for making important and high-impact decisions. You will be coached and guided and work as part of our team, but you’ll be free to work how you see fit and get things done the way you think they should be done.

Trialfacts plays an extremely important role in contributing to medical research and driving humanity forward.

Today we have a highly sophisticated medical system that would have been unthinkable just a century ago. There’s plenty of room for improvement, but over the last century our medical system contributed to adding nearly 20 years of life expectancy for the average person. Infant mortality has been reduced by 90 percent and maternal mortality by 99 percent. Age-old scourges like polio, leprosy, smallpox, and tuberculosis are mostly part of history books, even in the poorest countries in the world. A big part of that is thanks to new medications, medical devices and understanding developed through clinical research. Our clients – researchers working at universities, pharmaceutical companies, biotech companies, natural medicine companies, hospitals and medical practices, are working hard to continue to develop treatments and increase our understanding to eradicate sickness and improve quality of life. Without Trialfacts a lot of that research would not happen.

The number #1 problem faced by these medical and clinical researchers around the world is finding enough volunteers  and patients to participate in their clinical trials. This is a huge problem because the type of volunteers required and the medical criteria each patient must meet is extremely specific. If the required number of volunteers or patients is not met the research is invalid, and researchers do not have the skills or knowledge to reach them.

Sometimes our work or a particular study requires creative problem-solving, and we take a collaborative approach with our clients in this and all the work we do.

We believe in internal transparency. All business information is open to every member of our team, including our monthly financials.

The primary vehicle for decision-making in the business is the weekly team strategy call, where we tackle the larger decisions and opportunities for Trialfacts and its future. You’ll be expected to be part of this and contribute to strategic decision-making and steering the company forward.

4. Learn and Grow

We believe the best investment we can make is in our people. It’s a cliche but we pay more than just lip service to this concept. You’ll have regular coaching calls with me and the team (I used to offer coaching and consulting services, for which my clients paid me thousands of dollars to show them how to automate and grow their businesses – you can still see the sales page here. I no longer coach outside companies and entrepreneurs, but instead spend my energy working with our team), where we’ll help you develop your skills and teach you the frameworks used to become successful in this role and in business.

As a member of a small team you’ll be exposed to many areas of the business. You’ll learn many new skills, including people and communication skills, problem-solving, writing and marketing skills, as well as progress and build on what you already know. You’ll be exposed to constant variety in who we’re working with and the different strategies that we adopt and utilize. Over time you’ll have the opportunity to take on different roles within Trialfacts and learn new areas that are of interest to you.

You’ll take part in our level-up system, where it is very strongly encouraged you spend a portion of your working time learning and honing your skills in different and relevant essential areas. You’ll have access to courses, books and training programs paid for by Trialfacts.

Everybody makes mistakes while they’re learning, but you’ll have a supportive team around you to accelerate your learning, and get paid at the same time. 5. Be Rewarded

You’ll receive a small salary plus a generous profit share. As Trialfacts grows and prospers, you’ll share in the financial rewards consequent of your and the team’s hard work and ingenuity. We’ve been experiencing rapid growth over the past two years and the future looks optimistic as we continue to improve and expand on our core service, and move into additional geographical markets.

There’s also the potential for the role to grow in responsibility, and move into interesting new areas within the business.

What does a typical day look like?

You’ll have the flexibility and autonomy to plan your day and your working hours, but some of the activities your day will often consist of are:

Onboarding and educating new clients – You’ll be taught the process we use to teach each new client how best to work with and utilize Trialfacts to successfully complete their research. As our clients are located throughout the US and Australia this is done via a web conference with screenshare.

Interviewing our clients – For each new client you’ll be doing a Skype interview with one of the researchers. You’ll be following our process to ask them all about the research they’re conducting, which will be turned into an interview that patients considering participating in the research can listen to to inform their decision-making.

Ad creation – You’ll be taking what we know about each research study, and creating study information pages (like this and this) that go on our website.

Client management – When clients have questions or concerns about participant recruitment performance it will be your responsibility to respond to them.

Coordinate with Jess, our Advertising Manager – You’ll be working closely with the whole team, but especially with Jess our Advertising Manager. Between the two of you you’ll be responsible for managing our trial scorecard – which is where we track how many patients we’ve provided for each study, and how many we still need to provide and by when. The two of you will work together (with assistance as required from other members of the team) to address any studies that are not on track.

Provide client updates – Each week you’ll be providing an update to our clients on the progress of our recruitment of their study.

Marketing outreach – We’re looking to experiment with and do more PR, social media and patient advocacy group outreach.

US patient phone screening – For every study we work with we have each potential participant fill out a detailed online screening questionnaire. For some of our studies we then give the patient’s that appear eligible to participate a phone call to confirm that they do meet the eligibility criteria.

Strategy discussion – You’ll be expected to partake in our weekly strategy call and contribute to discussion and decision-making on strategic issues that affect the overall business. You’ll also be discussing and making decisions that relate to individual clients or projects on a daily basis.

Skill development – It’s expected that you’ll spend part of your time each day improving your skills in important areas, through training and resources provided by Trialfacts. There’s a wealth of knowledge in our team and we can help guide you in the areas to work on and the resources to use.

Other – We’re a small and nimble company, we’re constantly growing and evolving, and we often have to wear different hats. There will be other projects you’ll be involved with in helping the company grow and achieve its objectives.

What we’re looking for:

Loves working with people and is an excellent communicator – this is the most important aspect of the position. You’ll be constantly interfacing with our clients, patients and our team.

Can write well – from study pages on our website to emails communicating with clients, being able to write well is a must for any Trialfacts position, and especially this one.

Highly organized – you’ll be interacting with many different clients, patients and research studies, all working towards a specific quota on a timeline. If you’re not highly organized and comfortable in a fast paced environment then you’re unlikely a good-fit for this role.

Flexible – in an entrepreneurial business we sometimes have to wear different hats. We’re looking for someone that takes ownership and wants to help grow our company. If you’re the kind of person who would rather sit back and say “that’s not my responsibility” then please don’t apply.

Loves learning – we’re a team that’s driven by learning and improving. We’re looking for someone who wants to learn and develop their professional and business skills, grow as a person and constantly improve the service that we provide.

Results-driven – you will be coached and guided, but ultimately you will be responsible for your performance which will have a direct impact on the performance of the business and the profit share received by you and other members of our team.

Close to full-time but with lots of flexibility – we’re experiencing growth and we need someone who can fully commit to Trialfacts and get up to speed fairly quickly. You’ll need to be able to put in full-time hours (or close to) but you can work when you want and around kids or other commitments.

North American/South American hours – you’ll need to be generally available during at least a significant portion of US and Australian business hours, which unless you’re willing to keep odd hours means you will have to be located in a North American or South American time zone. Who are we anyway? Meet the team…

My name is Nick Karrasch. I’m an Australian living in Vancouver, Canada. I started Trialfacts eight years ago while at university. I also founded 42insights, where I previously taught and consulted on how to automate businesses, and provided sales funnel automation services, but now focus entirely on Trialfacts. My greatest accomplishment is convincing the below people to work with us. In 2011 I once reached inbox zero. I have interests in fitness, learning, health and entrepreneurship. My weaknesses include craft beer, dark chocolate, trying to emulate Elon Musk, and I have a nerdy love of hard sci-fi.

Meet Jess Kramer

Jess is currently responsible for this Client Services Manager position, as well as our advertising. Jess has only been with us for the past 4 months but in that time she’s completely overhauled the position and our client satisfaction has gone through the roof as a result. Our clients absolutely love dealing with her but we’ve been growing significantly so we’re splitting her role into two. She’ll continue to focus on managing our advertising and some related areas, and this new position will take over the Client Services and other parts of her current role. Jess is a South African currently located in Cape Town, and moving to Chiang Mai, Thailand in January. She had the following to say about her experience so far:

Meet Sam Alvarez

Sam has been with us for a little over a year now. She is responsible for our sales funnel and educating potential clients on the value we can provide to their research. A year ago she came to us with zero sales experience, and throughout 2015 has rapidly transformed into a sales superstar, and is directly responsible for a lot of our revenue growth. Never one to shrink away from a challenge, Sam has four degrees and speaks five languages, and is currently picking up Mandarin. Sam loves to travel and since working with Trialfacts she has been located in Japan, Portugal, Arizona, Wisconsin, Nicaragua, Costa Rica, Thailand and Taiwan.

Meet Stephen Bukowski

Stephen is our Head of Business Development and responsible for our sales in the US and our client marketing, though he has his hands in many different areas of the business. Stephen is our resident jack-of-all trades and has redefined in our team what it means to be willing to jump in and take on a new role. His ability and flexibility to jump in where needed has enabled us to successfully cope with some recent rapid growth that we wouldn’t have been able to handle otherwise. When we hired Jess 4 months ago we couldn’t resist picking up Stephen at the same time. Stephen is located in San Francisco, CA in the US, and with his partner runs a child care center and has interests in childhood development.

Meet Cathy Lacay

Cathy is our Customer Service Manager, and interfaces with our patients and volunteers. She also fills our Sales Coordinator role, ensuring our sales funnel remains full by corresponding with and converting potential leads to a sales appointment for Sam or Stephen. She is also deeply involved in working with Jess and getting our clients up and running. Cathy is the glue that keeps new sales appointments coming in and our business smoothly ticking over. She started working for Trialfacts a couple years ago through oDesk and later moved to working for Trialfacts on a full-time salaried basis. Cathy lives in Manila in the Philippines. Below are her thoughts on working with Trialfacts:

“I’ve always enjoyed working here at Trialfacts. Over the years, I’ve seen the company grow not just in numbers but more so in learning. I’m inspired by the culture of being equaly even with our “boss”- something that I don’t see in the usual office setting. Personally, it took a little bit of getting used to especially when I need to throw in big ideas for improvement but that’s something I’m more than willing to embrace. We don’t just have the best and the smartest but also the nicest people, it’s amazing how Nick was able to pool them together. Meet Gina Lillicrap

Gina joined us earlier this year as our phone support, screening and communications expert. Gina has the ability to jump in, experiment with and master new technology that has allowed us to take on projects, venture into new areas and improve our service in ways that we simply couldn’t have done without her. Gina works part-time for us, and unfortunately is quite loyal to her other position. Hopefully one day we’ll be able to convince her to work full-time for us. She is located in Gayndah, Australia.

Meet Vivian de Veyra

Vivian is Cathy’s sister and is our brand new shiniest team member, also located in Manila in the Philippines. For a long time we’ve joked about wanting to clone Cathy, and so when Vivian was looking for a work change we jumped at the opportunity to bring her onto the team. We’re extremely excited to have her onboard. Vivian manages some of our client marketing, and is currently training up to take over other areas of responsibility from Cathy.
