SUMMARY OF WORK:

Position serves as face of Dawson Community College for all stakeholders; primarily prospective and current students and their families to assist them transition through the enrollment funnel from a prospective student to an alumni.   Position executes the Enrollment Management plan through all phases of interactions with students and the public (i.e. answer phones and face to face questions, input and track data, assist Admissions, Financial Aid, Business Office and Student Services).  Position represents Dawson Community College at all recruiting activities across the region.  Position is expected to have high personal skills – meaning the ability to connect immediately with potential and current students, communicate well both verbally and in writing, instill trust, and ease anxieties while maintaining a positive attitude.  Position is expected to positively advocate for the College in all dealings with internal and external stakeholders.

DUTIES AND RESPONSIBILITIES:
Main Office (.2)

Provide excellent customer service to all DCC stakeholders, internal and external.

Serve as the first point of contact for all main office visitors; and all incoming calls referring to other units as necessary.

Responsible for all enrollment management incoming and outgoing mail.

Coordinate enrollment management work study work.

Assist the Enrollment Management Director with daily tasks such as extracting data and student information from databases, help with daily projects and other administrative duties as assigned.

Participate in the Institutional Effectiveness Committee structure.

Take minutes at meetings as directed.

Assist with Dual Enrollment program.

Serve as a back-up for the admissions specialist with all admissions and student housing applications.

Work with the business office personnel as needed.

Reconcile vendor payments and assist with the enrollment management budget.

Provides assistance and backup as necessary to Financial Aid, Admissions, and Business Office and Foundation personnel.

Assist in the development and implementation of marketing material efforts through development of posts, feature articles and ad hoc story development for the college website, social media, and other media and news outlets. Work closely with all design and multi-media resources to coordinate a consistent look and feel of all communications campus-wide (particularly recruiting and admissions).

All other related duties as assigned.

Recruiting (.3)

Manage, in all respects, the assigned geographic territory from which prospective students apply. This includes participating in high school visits, attending college fairs, job fairs, high school organization meetings, etc. Traveling approximately 3-5 weeks annually.

Keep in continuous communication with prospective students via email, mail, phone calls, social media, text messaging, etc.

Keep enrollment management team informed by sharing information from recruiting travels and projected enrollment trends.

Assist with evaluating & implementing the annual operating budget to meet program needs, perform clerical duties, and maintain inventory on program equipment and supplies. Be aware of budget constraints in all purchases.

Maintain continuous communication with faculty, staff, and administration to sustain accurate knowledge of DCC and the programs offered. Be aware of all recruitment sponsored by DCC coaches, programs and programming (Eg. RevUp, ABE, Big Sky Pathways, Perkins).

Assist with the training process for the student ambassadors who serves as tour guides.

Plans program activities including community college/high school visitations and private/public programs.

May plan and implement recruitment receptions in specified geographical markets.

Assist with providing training for alumni volunteers assisting in the national recruitment effort.

Provides enthusiastic and informative tours. Gives presentations to visitors during campus daily tours and at on-campus and off-campus events.

Be aware of scheduled community events on campus and ensure DCC is properly represented by use of marketing materials, tours etc.

All other related duties as assigned.

Online Programs – (.5)

Coordinate online registration processes of all online classes and online student enrollment (adding, registering, and dropping students, etc).

Lead all daily operations of online classes. This includes but not limited to:

Processing all online students accounts (approximately 150 apps per each (fall/spring/summer) semester.

Enrolling and Dropping online students within required deadlines.

Serving as a troubleshooter for updating online student passwords and usernames.

Process student enrollment sheets for the EM Director, Registrar, Financial Aid, and Accounts Receivable.

Develops, updates, and maintains all online student mailing and emailing (i.e. parent letters; dual enrollment letters, advance registration/orientation schedules etc).

Research, create & assist in implementing & updates the 6 and 10 week condense online courses annually.

Update the Online Master Course list to reflect updated courses that are offered and accepted from DCC Catalog and MUS System annually.

Maintain contact with faculty, staff, and administration to sustain and ensure accurate knowledge of online DCC programs offered campus wide.

Serve as the first point of contact for all emails that come to online@dawson.edu and process or forward as necessary.

Attention to detail and thoroughness required.

Use fine motor skills.

Reach with hands and arms.

Perform finger and hand dexterity.

Carry boxes up to 40lbs. and setup DCC displays without assistance.

Use visual acuity.

Exercise physical mobility.

EDUCATION AND EXPERIENCE:

The above knowledge, skills, and abilities are typically acquired through a combination education, or a combination of some higher education and experience equivalent to:

Successful experience in customer service related environment.

Ability to engage the public with openness and professionalism

Experience using Microsoft Word and Excel.

Must have a working knowledge of word processing, spreadsheet and database use or the willingness to gain necessary skills.

PREFERRED:

An AA/AS/AAS degree or combination of education and experience

WORKING CONDITIONS:

Conditions are generally those of a typical office environment, requiring frequent oral and online communication with college personnel, prospective students and parents and media and the ability to enter data and written communications in electronic format in a timely manner.  The position requires regular travel, which may occasionally be under late night and poor weather conditions. Must have a valid driver’s license and vehicle or reliable transportation.
