Position: Administration Support Assistant (1)
Duty Station: Lusaka
Role Purpose:
Performs a variety of associated administrative, staff support, coordinates and facilitate legal requirements for visas, residency and work permits and other administrative and procurement support activities across multiple and provide safe transportation of goods and passengers as assigned.
Key areas of accountability
Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of crisis or emergency.
Commitment to serving members and their donors, and to helping build a culture of member service throughout organisation
Initiate and complete request for visas, work permits, or other legal requirements for non Citizen staff
Handle incoming and outgoing shipment of expatriate staff belongings
Undertake activities lo maintain updated registration, licensing of vehicles in coordination with logistics
Perform simple administrative and finance support tasks such as delivery of banking documents, assisting procurement by coordinating with vendors, pick up and delivery of documents, make small emergency purchases, packing and shipping of materials
Pick up and deliver supplies, equipment, and materials for SC Zambia as requested by Supervisor
Tracking of visas, work permits and other legal requirement for non Zambian citizens based in SC Zambia office for short or long term periods.
Renew visas, work permits and residency permits according to Zambian law and assign tasks to ensure compliance.
Perform simple administrative and finance support tasks such as delivery of banking documents, paying water and electricity bills, delivery of documents, make small emergency purchases, and follow-up with telecommunication on telephone bills.
Follow-up with Telecommunication Company on all mobiles related matter such as purchase new devises, repairs, maintenance or get new numbers for SC
Drive staff and visitors as requested
Provide other services as requested
Qualifications and Experience
Completed Secondary school or hi school and holder of Diploma in Business Administration
2 years relevant work experience
Computer knowledge especially MS Offre.
Knowledge of legal requirements for visa, registration, car licence, work and residency permits, etc.
Customer service oriented.
Ability to priorities competing demands.
Dead line oriented and wiling to work extended hours.
Strong team player with high team spirit and positive attitude

Position: Finance Officer – Budgeting and Reporting (1)
Duty Station: Lusaka
Role Purpose:
To implement financial procedures and policies of Save the Children Lusaka office and be responsible for reporting and making financial analysis for management.
Key areas of accountability
Assist programme staff Manage- Grants and DFSS in reviewing and preparing new proposals budgets
Responsible for checking secured awards budgets and Update them in Agresso as per SCI requirements
Prepare monthly OVA reports with detail comments for each award in coordination with Manager Grants
Conduct monthly budget holders meetings to track budget variances and keeping track of meeting minutes
Make adjustments in Agresso as per budget holders meetings notes
Assist DFSS in preparing quarterly budget forecast and country annual plans as per SCI requirements
Keep track of foreign exchange gains and losses and adjust budgets accordingly in the system in coordination with budget holders
Provide training to non finance staffs in all offices for budgeting and budget management
Qualifications and Experience
Financial Reporting:
Draft awards financial reports on time and accurately basis from Agresso as per set deadlines
Prepare monthly Salaries and office shared cost allocation schedules
Assist in preparing quarterly effort reporting and submit to RO as per set deadlines
Prepare quarterly terminal grant gratuity provision report to make adjustment in Agresso
Assist in drafting monthly controls checklist (MCC) & and other financial reports
Conducts monthly high level financial analysis to assist DFSS in managing organisation finances
Audit Support:
Prepare and assist Auditors during award specific arid annual audits
Prepare financial analysis and exhibits for Audit Review as per auditors requirements
Assist DFSS in the follow-up of audit recommendations and ensures clearance of any audit finding
Conducts periodic reviews of country programme budgeting and reporting process and give recommendations to DFSS in improving systems, policies and procedures
Conducts spot checks of inventory in storage rooms and warehouses, verifies the use of assets and provide guidance and coaching to our staff

Qualifications and Experience

Position: Officer Child Rights Governance (1)
Duty Station: Lusaka
Role Purpose:
The incumbent will support Child Rights Governance Programme
Key areas of accountability
Supporting the partners to implement programmes in the Child Rights Governance thematic area.
Documenting of project/partner experiences to create the good and bad practices, the results and impacts achieved and any other experiences relevant for sharing with others
Ensure effective implementation of national level work on CRC programme
Responsible for setting up meetings and ensuring CRC interventions meetings are on track
Analysing the reports and funding requests from the partners, giving teed-back and recommending transfer of funds
Support the orientation of partners on children rights AND ensuring Child rights programming is integrated in their plans
Prepare quality semiannual and annual reports as per the requirements of the agency and the grants on time
Ensure timely disbursement of funds to implementing partners including ensuring efficient utilisation of funds
Undertake periodic field monitoring visit
Liaise with other practitioners in a similar field of work and with government on policy end practice issues end
informing them of our interventions and work

Position: Programme Manager, Zambia Child Rights Programme (1)
Duty Station: Lusaka
Role Purpose:
The Programme Manager Zambia child rights program ensures the implementation of the Local SIDA funded program of realizing children rights m Zambia (S)he acts as focal point for Zambia providing guidance to HIV&AIDS Child Protection and Child right governance initiatives focusing on Save the Children’s guidelines, vision and mission. (S)he represents Save the Children with relevant child sector government structures and other international partners in Lusaka. Being responsible for managing partner relations, the Program Management ensures joint planning with partners and manages ongoing relationships. (S)he will identify program and implementing partners as well as negotiate agreements. (S)he will be responsible for monitoring the Local SIDA program budget and expenditures, documentation reporting, monitoring and evaluation (M&E)
Key areas of accountability
Partner Management
Lead in design and update detailed implementation plan for the program with input from partners
As required identification of national partners and/or identification o! potential partners
Systematic review and verification of partner capabilities
Contribute to the long-term strategic planning of the program.
As budget holder of Local SIDA develop and manage the program budget.
Contribute to developing project proposals, to finance the program.
Lead and coordinate the reporting to the Local SIDA
Review arid systematic follow-up to partner reports (Financial arid Narrative)
Provide regular feedback on stipulated outcomes and processes to ensure achievement of objectives
Regular site visits to verify status of program implementation
Coordination
Actively participate and contribute to inter-agency HIV&AIDS, child protection and child right governance coordination meetings to ensure a child rights locus,
Ensure Sc actively coordinates and contributes to community-based and national relevant thematic interventions;
Analyze the outcomes of the program and changes in the external operating environment and incorporate findings in to the ongoing development of the program
Develop and maintain external network of contacts, support and co-ordinate with other colleagues to ensure maximum impact.
Oversees procurement, administration, and logistical processes for the program
Staff Management
Supervise staff under the relevant thematic areas in line with the ‘eas of accountability
Internal Coordination
Working closely with all SC program staff to ensure that child protection and participation is integrated into all aspects of SC programming, including the component of non-discrimination;
Contributing to programme design on issues of sexual and gender-based violence
Reporting and Monitoring and Evaluation
As required prepare reports and documentation on project accomplishments and impact
In liaison with MEAL developing an effective system of monitoring and evaluation for the program
Monitor activity against plan and budget highlighting any significant deviation from plan and recommendations to the Director Programme Operations
Prepare the monthly, quarterly and annual reports as required.

Qualifications and Experience
University degree in Social Science or relevant area
At least 5 years of relevant working experience, experience related to HIV&AIDS within civil society sector an added advantage
Knowledge of human rights, preferably of children’s rights and HIV & AIDS
Demonstrated ability to apply advocacy skills within national setting
Advanced program management skills to design and deliver programs with partners and/or through direct assistance
Understanding of and experience in working with civil society organizations
Fluency in written and spoken English with good analytical, report and proposal writing skills
Strong communication, interpersonal and representational skills
Ability to work collaboratively as part of a team as well as independently as required
Knowledge of Word, Microsoft Excel and PowerPoint
