JOB DESCRIPTION:

ETS Information & Analytics (I&A) Strategy is setting a forward ambitious agenda. To manage all complexities, a centralized Program Management Office (PMO) is set within I&A to ensure consistent portfolio governance and tracks the delivered value across the group.

I&A Governance and Program Management Office (PMO) is responsible for:

Ensuring that interdependencies across various teams are managed properly

Delivering programme/projects in a timely manner at committed cost and scope

Effective prioritization of projects and budgets. Balancing short-term and long-term business needs are critical for the successful delivery of I&A Program / Projects.

Therefore, there is a requirement for I&A Program Management Executive who can effectively support & drive various PMO initiatives effectively.

Main purpose of job:

• The I&A Program Management Executive is responsible to support & drive reporting, PM governance and various PMO initiatives.

Key accountabilities:

I&A Program Management Executive role is key to support I&A Program Manager. His / her main responsibilities are as follows:

Effective I&A Portfolio Reporting

Monitor, track and liaise with I&A projects and conduct portfolio and / or status reporting including status, risks and issues.

Standardize and consolidate updates from I&A Projects and report to the Leadership Team (e.g. via road maps, scorecards, trackers, integrated plan, delivery plans).

Prepare and/or maintain resource plans for I&A projects, by generating, consolidating, updating weekly and monthly resource reports (packs / workbooks) as per requirements from I&A Program, Project, Delivery Managers & PMO.

Keep meeting schedule / calendar and action log at overall program or project level if it is needed.

Communicate / promote I&A PMO initiatives and reporting tools within the portfolio / projects and champion active adoption and usage.

Build effective relationships with PMs, other I&A team members and stakeholders located in various geographies to resolve & support issues and concerns in a professional and timely manner.

Effective I&A Project Governance

Drive, track and report to ensure clear and effective corrective actions being taken by action owners and decision makers.

Act as SME in maintaining I&A projects on Clarity through necessary funnel process while collaborating with Global PMO & project managers. Ensure the I&A project status & data is complete & accurate.

Maintain I&A PMO Document Repository

Gate keep Program & project documentations, maintain central document repository,

Maintain on- boarding packs, user manuals, training materials, reports, scorecards and lessons learned documentations.

Manage & develop the I&A PMO SharePoint sites in an integrated way.

Assist in improving and maintaining I&A Sharepoint.

Education & Work Experience:

3-5 years of work experience.

A minimum of two years of experience in Project and Portfolio Reporting.

Mandatory Advanced MS Excel reports and dashboards knowledge including but not limited: use of Pivot Tables, Pivot Reporting, Conditional Formatting, vLookup function, Data tables, simulations & solver.

Experience at working both independently and in a team-oriented collaborative environment.

Experience of virtual/remote working with multi-country / multi-geography / multi-cultural environment.

Experience in Project Management governance and PM Lifecycle

Advanced MS PowerPoint working knowledge including but not limited to creating customized presentations with existing or new templates, adding special effects, creating, editing, and importing charts, managing hyperlinks, secure and share presentations through SharePoint.

Advanced English verbal and written communication skills.

Desirable experience: Team lead, agile development methodology, SharePoint user/admin experience, Clarity or other project management tools.
