JOB DESCRIPTION:

To supervise the Residency Coordinators and oversee the day-to-day operations of all residency programs within the department; to serve as a liaison with the Office of Graduate Medical Education (GME).

Salary Range

$60,000 - $70,000 per annum commensurate with experience

Specific Job Related Duties

**Management and coordination of the Family Medicine Residency Program (UTMB Campus): **With oversight and direction from the Program Director coordinates all aspects of program in compliance with Accreditation Council for Graduate Medical Education (ACGME); provides daily oversight and compliance of Family Medicine residency activities. Responsible for program policy (FM Handbook) maintenance; monitors operational budget and provides expense reports; develops resident/faculty clinical and rotation schedules in conjunction with the Program Director and residency leadership. Maintains annual contracts for residents and educational files; provides daily oversight of Residency Staff; and indirect oversight of 30 residents; and overall administration operations of the program. Prepares and submits ACGME RC--required documentation of program in collaboration with the program director. Assist with the recruitment, selection and matriculation of residents. Assists with HRSA and other residency-related grant activities. Assists in the development of new procedures in response to new or revised policies issued by governing agencies or program director (i.e. Milestones, Program Evaluation Committee(PEC), Clinical Competency Committee(CCC), etc.).

**Supervision of the Residency Coordinator(s) (2 FTEs) and oversight of the day-to-day operations of the Family Medicine residency program and ongoing requirements of the ACGME FM/RC (Review Committee) are met i.e., Duty Hours, Core Competencies, Conference Schedules, Evaluations, Scholarly Activities, Portfolio and Milestones:**Oversees staff performance of duties associated with the management of the FM Residency Program which includes recruitment, interviews, on-boarding, GME policy/procedures, resident/faculty daily schedules/assignments, faculty time and effort, affiliation/program agreements, annual retreat (resident assessment of program), resident workshops, community projects/events, budget, and administrative operations of the rural training experience. Implements policies and procedures related to role responsibilities and manages daily operational activities in addition to analyzing workflow. Maintains program files in accordance with the current Records Retention schedule.

**Responsible for the maintenance of all educational program documentation: **Implementation and Maintenance of the FM Residency Data System Management Suite - New Innovations (NI). Information to be recorded in GME information management system, New Innovations, adheres to established deadlines as set forth by the institution. Maintains, coordinates and updates department residents’ files and records as appropriate. Development, implement, and monitor modules to include the following: academic year set-up, assignment schedules, evaluations (i.e. residents, faculty, program by faculty and residents, program director, quarterly by advisors, annual/semi-annual, Milestones, 3600evaluations to include nursing/staff, and patient, and the Annual Program Evaluation (APE)), curriculum (block schedules), institutional and department residents orientation, calendars, duty hour surveys/reports, portfolio, scholarly activities, administration, personnel (faculty, resident, staff) records, procedure logs, custom data, curriculum goals and objectives, rotation information sheets, residents and department manuals, and faculty/ residents compliance to institutional and departmental policies and procedures, and confirm cost reimbursement (Medicare) data.

**Liaison with overseeing agencies as it relates to the FM Residency Program:** Provide oversight and connections with appropriate personnel of other agencies/governing bodies participating in residency training and collecting, organizing, and submitting data, reports, resident information, program information, etc. To include: ACGME- RC/Annual WebADS and surveys, ABFM-RTMS, TMB-PITs, TheCB, FREIDA, GME Connect, NPPS, TER, GME-HSO, AAFP-TAFP, ERAS, NRMP, UTMB, FCVS, and AFMA. Work closely with the three FM clinic sites, faculty and community preceptors and specialty rotation sites/hospitals.

**Resident Support: **Documentation of resident’s records for the maintenance of current professional certification and licensure (i.e.: BLS, ACLS, ALSO, PALS, NRP, permanent M.D. and D.O.). Reports time and effort (KRONOS), ensures training records are accurate (confidential files), ensures attendance at educational sessions, monitors duty hours, procures confidential evaluations of program and faculty, chief selection, surveys, administers and monitors annual required resident and faculty survey from ACGME, maintains individual education training records and individual performance improvement plans, ITE/USMLE scores, moonlighting process, annual contracts, responds to the needs of the residents, provides sound guidance on pertinent resident issues, resolves problems and answer inquiries, manages all elective rotation and manages all leave requests, prepares documents for semi-annual/annual evaluations and Milestones, data submission, attendance and documentation at all CCC and PEC meetings, data for distribution at ALL RES MTG (monthly), delinquent chart reports, TDCJ privileges, access (ITIM), emergency contact information, social activities, verification of residency, monitors hospital stipend utilization and resident educational funds, adheres to deadlines set forth by the program director.

Preferred License/Certificate

Prefer candidates who hold Training Administrators of Graduate Education (TAGME) certification

Demonstrate professional expertise within multiple environments, placing priority on time management, organizational skills, and constant high levels of tact, integrity and confidentiality as the position consistently involves participation and/or management of confidential and sensitive data.
