Location: Support Services Center, Federal Way, Washington

Supervision: The position will be supervised by the WEA Chief Financial Officer in the Federal Way, Washington facility.

Purpose: The primary purpose of the position is to perform accounting and support related functions in support of the WEA Chief Financial Officer and in coordination with WEA Human Resources as needed.

Job Summary and Essential Job Functions

Successfully perform accounting and support-related functions to assist the WEA CFO.

Accounting

Coordinate monthly and annual leave reporting activities including data maintenance and processing. Work with leave reporters to ensure accuracy and timely leave processing.

Participate in new leave system implementation and redesign of processes to create efficiencies. Maintain upgrades as needed.

Track and coordinate employee PTO, Sick Leave data and keep and maintain accurate data related to usage and cash outs.

Respond to internal requests for leave information. Assist staff with questions and leave adjustments.

Maintain master employee salary, FTE and seniority rosters. Create ad hoc reports as needed.

Work with HR to maintain accurate records related to WEA employee training and wellness funds, including the ability to produce electronic reports for review by managers.

Act as a proactive liaison between Payroll, budgeting, accounting and human resources as needed to ensure proper flow and maintenance of employee data.

Coordinate agency fee payments and reporting, including the validation of data used to support such reporting. Work with WEA Legal to administer payments and Council/Local billings.

Track and coordinate WEA Children’s Fund accounting and reporting in conjunction with other WEA staff.

Maintain Children’s Fund QuickBooks system.

Track and coordinate accounting related requirements associated with Community Outreach Funds and/or other funds flowing from the WEA to Councils or other entities as needed. Work in conjunction with other departments as necessary.

Perform statement and account reconciliations, and resolve outstanding amounts/discrepancies as needed.

Perform fiscal year-end closing procedures and prepare audit schedules.

Assist with annual audit and provide information to outside auditor as requested.

CFO Assistance

General office assistance to the CFO, including drafting correspondence as necessary.

Assist the CFO with mail, meeting logistics and other general coordination as needed.

Assist the CFO with special projects.

Coordinate the tracking and approval process associated with WEA contracts as needed (in conjunction with other stakeholders).

Track various insurance related renewals, including necessary communication with insurance vendors as appropriate.

Provide administrative and accounting support for staff pension and 401k plans. Coordinate Trust meetings, take and produce meeting minutes, track expenses and ensure timely regulatory notices. Work with HR and Accounting as needed. Maintain accurate files.

Accounting Backup

Provide backup for accounting processes when needed during times of overloads or absence.

Other

Other duties as assigned which support the mission, goals and objectives of the WEA.

Maintain confidential information of a sensitive nature.

Ability to learn a new membership data system (NEA360–expected launch in 2016); possess strong familiarity with database systems used to track detailed information and requiring data input accuracy and attention to detail; ability to generate reports based on user requests; ability to understand how data is used in effective decision-making.

Work cooperatively with other staff across centers to assure work is coordinated and completed.

Ability to “think outside the box” to implement efficiencies and automate processes inclusive of new accounting software implementation.

Minimum Job Requirements

AA degree. BA preferred.

Three (3) years bookkeeping and accounting experience using computerized accounting system. Experience in General Ledger accounting. Knowledge of general accounting principles and auditing procedures. HR experience a plus.

Two (2) years of office administrative or related work.

Proficient and accurate in the use of accounting programs. Proficient in entering data quickly and with a high degree of accuracy.

Proficient using programs and spreadsheets. Proven experience and proficiency in the use of Microsoft Office Suite and other industry appropriate software and hardware with particular emphasis on Excel and Word.

Ability to keep information confidential.

Motivated self-starter with the ability to work well in a team environment, as well as independently.

Strong organizational skills. Demonstrated initiative and ability to effectively plan, organize and complete multiple assignments and be flexible with changing priorities.

Work cooperatively with other staff across centers to assure work is coordinated and completed.

Maintain professional work habits of punctuality and attendance.

Pay strong attention to details; highly detail-oriented.

Proven proofreading, spelling, and grammar skills.

Demonstrated knowledge of office administration procedures.

Ability to successfully work, communicate with and support diverse individuals and groups; must be able to develop and maintain cooperative workplace relationships.

Must support and advance the WEA mission, goals, core values and priorities.

Salary Range and Benefits

Monthly salary range:

Level 3 (C) — $4,519 to $6,447
