Overview
The Operations Manager role is crucial to keeping True running smoothly, efficiently and profitably. This new role encompasses resource management, scheduling, time sheet management, utilization & profitability reporting as well as the ongoing management and support of users on our internal tools. In addition the Operations Manager will play a key role in implementation and roll out of a new job management system.
It goes without saying that this role requires fantastic people skills. You’ll often need to guide people with a firm hand, ensure processes are followed correctly and mediate between conflicting demands – and you’ll need to do it all with a smile on your face. Your role is to provide the foundations and discipline that frees everyone to work better together and produce great work.

You’ll be responsible for:
Operations:
You will work closely with the Production Director to drive effective processes and operations throughout the business. As well as ensuring work is done according to our established process you will also have the opportunity to observe how we work, capture learnings and feed these insights back to help us continually improve and adapt to changing work and client opportunities.
Resource Management:
As our scheduling puppet master, you’ll support the successful delivery of all of our projects through the daily management of resource bookings. You’ll work closely with Project and Account Managers to plan bookings and make sure people are briefed and you’ll often have to think creatively to find ways to juggle projects and priorities.
You will also have the opportunity to review our existing resourcing models and make recommendations for how these can be improved or better aligned with changing business processes and project types.
Act as single point of contact for resource requests and freelance bookings.
Day to day management of our resource requirements through scheduling tasks, managing conflicts and finding solutions.
Ensure that team members are working on their assigned projects.
Work closely with department team leaders to assign suitable resources.
Work closely with our project management team to deliver the work on time and on budget.
Maintain a database of freelancers to effectively deliver work during peak periods.
Work with account teams to prioritise the pipeline of work, forecast capacity and plan resource requirements.
Manage time sheet submissions ensuring they are completed correctly and submitted on time
Use existing tools to report against targets on utilisation and resource spend
Once new job management system is in place, provide ongoing insight and reporting to improve operational efficiency
Job Management System:
True are currently working to install a new job management system within the business. The new system will cover activities from forecasting and scheduling through to invoicing and reporting. You will support the Production Director and the project team to drive through the implementation and uptake of the new system.
Assist in system setup, data migration and content entry
Work with the Project Manager to deliver the roadmap for integration and implementation
Work closely with different departments – including New Business and Finance – to align and convert existing processes to the new system
Be a champion of the new system and drive its uptake and usage across the agency by ensuring that it supports and facilitates our business processes
Once in place, use the system to provide management information on staff utilisation and client/job profitability
