IBM Notes and MS Outlook are two names that are widely renowned in the field of email communication. Though belonging from the same species, i.e. email clients they hugely differ from each other in certain aspects. Let us just go through the various factors in brief.
IBM Notes
IBM Notes and Domino server are developed on the basic client – server mechanism, Notes being the client and Domino being the server. NSF (Notes Storage Format) is the database file extension in which Notes data gets saved. Many applications can be developed and deployed in IBM Notes and its counterpart Domino server. Independent applications like add-ons, add-ins, widgets, etc. are also supported by IBM Notes and Domino server. IBM Notes can also be used without Domino server as an IMAP client.
MS Outlook
MS Outlook is another email client which can be termed as a personal information manager of which emailing is just a part. Outlook can be used separately or can be configured with Exchange Server and Microsoft SharePoint server. Windows mobile can synchronize complete Outlook data to Outlook Mobile.
Major Issues In Notes
There are many persistent and unavoidable issues with IBM Notes due to which users migrate their Notes data in Outlook, i.e. carry out NSF to PST conversion. Some of the major issues are described below:
1) Hard Time Working With Interface
With a user’s point of view, IBM Notes does not fulfill the basic need of simple and intuitive email program. The various features make it difficult for users to get adapted to this email client. The Task buttons also add up to this difficulty. Various options are displayed in Notes with the help of task buttons which are not easily visible on the UI making it difficult for the users to find and use them.
On the contrary Outlook has a simple user interface. The task buttons in Outlook are displayed by text as well as buttons. A naïve user doesn’t find it difficulty using them and get accustomed to it in a very short time.
2) Futile Search Option
Searching an email in Lotus Notes turns out to be a futile task. When you enter the name or subject of a mail in the search box, Lotus Notes is unable to find it quickly and accurately. Thus, this leaves you with no option than look for the mail yourself.
Searching in Outlook is a very easy, accurate, and quick task. You just need to enter a keyword or subject or any term that matches the content of the email body and Outlook will display all the results in an instant.
3) Problem Forwarding Calendar Invites
Lotus Notes does not give an option to forward calendar invites. If you have created a calendar invite let’s say for a meeting, you will not be able to forward that invite to someone else.
With Outlook you will face no problem to forward calendar invites. If you create a calendar invite for a meeting and forward it to your colleague, your colleague can also forward the invite to some other person.
4) Maintenance Issues
Notes being a business collaborative functionality require a lot of investment in maintenance. Since it offers a large range of features and functions using it just for the purpose of emailing is mere wastage of resources.
Outlook on the other hand does not require huge maintenance cost. Also, it comes as an individual license apart from being a part of MS Office suite. One doesn’t need to pay for services not required just to acquire Outlook services.
How To Perform NSF To PST Conversion
Due to the above mentioned issues users are migrating from Notes to Outlook to get convenience. Notes NSF files can be converted into Outlook PST files by deploying third party tools like NSF to PST File Converter. The tool efficiently performs conversion of Notes Storage Format database thus making its contents accessible on Outlook in PST format.
