Duties:

Duties include, but are not limited to: Serves as primary contact for public inquiries regarding Title V-HSI programs (Mentoring and Academic Coaching and Career and Finacial Education, CAFE), and the and activities; Prepares confidential and public correspondence while exercising independent judgment and tact; Prepares electronic PCR documents for new / additional professional and student hires; Provides support to Title V programs through scheduling continuing and occasional meetings on and off campus; Responsible for maintaining inventory of office supplies and products to support Title V program and activities; Maintains Tiitle V program directors' appointment schedules including travel, agenda preparation, and distribution of materials to attendees in advance of meetings; Coordinates travel plans and reimbursements for all Title V staff; Maintains program budget information and performs duties associated with expenditures and hiring; Serves as time administrator for student time entry in SAP; Collaborates with University College Office of the Dean and other University College programs and services; Other duties as assigned.

Job Description:

The Grant Senior Secretary will provide administrative support to Title V Hispanic Serving Institution programs, including budget tracking, records management, preparing reports, decisions regarding program policies and procedures, provides support to staff members, manages / coordinates the program budget, and coordinates the daily activities of the program office to assure accurate and timely preparation of reports and other documents as required. Other duties may also be assigned.

University College is home to the new Personalized Academic & Career Exploration (PACE) Center, which will provide academic advising, career counseling and mentoring to new freshman entering the university having completed fewer than 16 hours of college credit since graduating from high school. Programs located within University include:

Athletic Academic Center; Bachelor of General Studies; National Student Exchange; PACE Academic Advising Center; Peer Mentoring; University College Advising Center; Texas Success Initiative Program; University Seminar and Institute for College and Academic Success (ICAS): ICAS is home for programs and services enhancing student access to and achievement in higher education. It also serves as the hub for research on the first year of college in University College and provides opportunities for faculty interested in studying student success from a wide variety of perspectives. It is also the home to externally-funded programs supporting these goals, including:

Advise TX: Associated with the National College Advising Council, Advise TX identifies and locates recent college graduates in public schools with the goal of developing a college-going culture and increasing matriculation to community colleges and universities. TXST Advise TX advisors in 2012-2013 are located in Corpus Christi and the Rio Grande Valley of South Texas.

Mentoring and Academic Coaching -- Foundations for Student Success at Texas State University (TXST MAC): Funded by the US Department of Education Title V Developing Hispanic Serving Institutions Program, TXST MAC provides financial support for peer mentoring, academic coaching and financial education programming for first-year students at-risk of academic failure. Funding begins on October 1, 2012 and will continue through September 30, 2017.

Required Qualifications:

High School Diploma or GED; office management experience; documented communication skills; experience in the use of Microsoft Office programs (Word, Excel, PowerPoint and Outlook); general understanding of university programs and processes; attention to detail and ability to meet deadlines and adjust to priorities and assignments on a daily basis.

Preferred Qualifications:

Associate's Degree; Previous experience with SAP and Banner Student Information System; 3 years office management experience; Budget processing experience; Travel management experience; Payroll experience, sponsored/funded programs experience.
