Job Summary:
To support the mission of the Emery/Weiner School and the College Counseling Office by providing administrative assistance to all members of the College Counseling staff; building strong relationships with students, parents and colleges/universities; and managing all aspects of the students’ college application process.
Administrative Duties and Responsibilities:
Process college, scholarship, and other program applications
Manage and track teacher recommendation forms from student to teacher to college
Format, edit, and submit counselor and teacher recommendations
Create and manage forms/handouts relating to college counseling
Assist in revising and updating school’s Profile
Maintain and manage the College Counseling calendar
Coordinate and schedule college representative visits to campus
Maintain office including, but not limited to: monitor/procure general office supplies, file student information and college promotional pieces, maintain supply of standardized test registration and prep materials, and other duties as assigned
Write weekly electronic newsletter
Data Management Duties and Responsibilities:
Maintain Naviance database and facilitate student usage
Assist Registrar in proofing transcripts
Collect college transcripts of first-year Emery graduates and maintain data sheets for re-accreditation process
Verify and calculate GPAs and update them on Naviance
Maintain College Counseling website
NOTES:
Additional Salary Information: Commensurate with experience.
Qualifications:
Education and Experience: Four-year college degree is strongly preferred.
Knowledge and Skills: Strong interpersonal skills. Excellent written and verbal communication skills. Strong administrative and data management skills including close attention to detail. Strong organizational, problem-solving, and analytical skills. Proficiency in Microsoft Office Suite, especially Excel, Word, PowerPoint and Outlook.
Abilities:
Ability to maintain confidentiality. Ability to remain open to others’ ideas and embrace new technology. Ability to maintain a willingness to try new things, develop new procedures and strategies as the College Counseling Team adapts to an ever-changing college admissions environment. Ability to demonstrate accuracy and thoroughness and monitor own work to ensure high quality. Ability to adapt to changes in the work environment, manage competing demands and deal with frequent change, delays, or unexpected events.
Physical Skills and Abilities: Depending on the assignment, this position frequently involves standing, walking, sitting, and manipulating (lifting, carrying, moving) light to medium weights of 10 - 50 pounds in the course of coordinating work. This position also frequently involves finger dexterity, feeling, repetitive motions, talking, hearing and visual acuity, and may sometimes involve stooping, kneeling, and crouching in the course of coordinating work.
Working Conditions: Work is performed in a normal office or classroom setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer.
