New White Paper Explores How Records Management, Information Governance, and Compliance Remain On-premises in Most SharePoint and Office 365 Organizations

Concept Searching, the global leader in mutli-term metadata generation, auto-classification, and taxonomy management software, and developer of the Smart Content Framework™, has found in its fourth annual SharePoint and Office 365 State of the Market survey results that compliance applications, such as records management and information governance, are typically located on-premises.
The 2016 SharePoint and Office 365 State of the Market Survey was conducted from March to June 2016. 413 unique surveys were completed by organizations that currently have one or more versions of SharePoint in use or are using Office 365 in a hybrid or cloud environment.
Microsoft is committed to migrating line of business applications to the cloud through the use of Azure. Based on responses captured in Concept Searching’s recent survey, achieving this goal may prove more challenging than initially anticipated by Microsoft. Most organizations are long-time SharePoint users, and may perceive rewriting applications for the cloud to be impractical and an inefficient use of budget.
Many organizations continue to require that content is stored on-premises, for use by data security, compliance, regulatory, and customized processes that cannot be easily replicated in the cloud. Many do not want to reinvent the wheel.
The eDiscovery in the Office 365 Security and Compliance Center is relatively lightweight and would not be of value to organizations that face litigation challenges. In addition, using it as an organization’s eDiscovery tool may not create the most advantageous repository for litigation, compliance, and security purposes.
Despite meeting the Department of Defense (DoD 5015.2) standard, records management in SharePoint Online sends a red flag to some organizations, in relation to the security and location of records stored in the cloud. Although the records center provides end-to-end records management, it typically needs extensions and custom code to provide the additional functionality organizations now need, as compliance requirements continue to balloon out of site.
Data sovereignty, government mandates, and integration with on-premises applications are important as well. This feedback is similar to the responses from last year’s Concept Searching survey, in which information governance appeared on the list of priorities for organizations. The responses from this year’s survey indicate that governance is managed through associated applications, such as government mandates, compliance, and data sovereignty, which are considered high in the list of concerns about the cloud environment.

We have watched these organizations become more savvy, picking and choosing which applications they will run in which environments.
