Position Summary

The Proposal Coordinator is responsible for coordinating and managing customers Request for Quotations (RFQ) from receipt through to submission of a Proposal. for Subsea Umbilical Systems. The role includes coordinating the review of technical and commercial terms of customer RFQ’s with Sales, Contracts, Estimating, Project Management, Engineering, Manufacturing, Supply Chain, Quality, and HSE, then managing the preparation of client proposals.

Duties & Responsibilities

Receive and acknowledge receipt of customers’ RFQ. Through Sales, clarify customer requirements. . Identify options and exceptions in proposal. In concert with Sales, maintain weekly status of outstanding proposals and potential proposals. Modify or update existing proposals at Sales’ request. Cancel expired proposals. Maintain proposal files.

Act as primary point of contact for Proposals and communicate confidently and appropriately with internal and external customers.

Create email groups to ensure clear communication with the proposal team. Book meetings and invite appropriate attendees for key review points in the proposal.

Create bid documentation within the business system and co-ordinate the management approval process of proposals.

Review customer proposal deliverables and create a bid plan for tasks required as part of the bid. Communicate with the business groups to assign and prioritize tasks and ensure resources are available to complete tasks in the allotted time.

Create pricing sheets, which include performing financial calculations. Understand and creation of pricing formulas and analysis.

Compile documentation from various sources into a proposal, formatting in accordance with company guidelines and proof-reading content.

Update and maintain systems necessary to the Sales Administration operation including proposal logs, monthly sales updates and customer lists, as required.

Manage documentation and files when proposals are revised.

Perform detailed review of customer purchase order or LOI to ensure it aligns with Proposal submitted.

Coordinate the handover of projects to the Project Manager after projects have been awarded, including ensuring all documentation (including correspondence) is provided to Project Management, Engineering, Supply Chain, Quality and Manufacturing that describe, in detail, the scope-of-work, the level of quality, the delivery or availability and the target cost.

Represent the Company at meetings with clients and assist Sales Representatives in maintaining customer relationships.

Undertake periodic domestic and international travel as required.

Qualifications

Associate Degree required, Bachelor’s Degree preferred. Minimum 5 years related experience in manufacturing, personal selling, contract review, subsea equipment and architecture, engineering drawings and specifications, and business communications. A PMI CAPM certification is preferred.

Knowledge of the following software:

High level of Proficiency in creating and editing Adobe PDF documents

High level of Proficiency in Microsoft Excel and Word documents

Experience preferred in Google Documents, Webex, Customer Relationship Management software and Oracle Peoplesoft. Also, knowledge of Inside Sales, Bid Management, Project Management, Manufacturing, and Customer contact is desirable.
