Background: The New York Hall of Science presents 450 exhibits, demonstrations and design activities that explain science, technology, engineering and math. A visit to NYSCI is a hands-on, energetic educational experience where you can indulge your curiosity and nurture your creativity. NYSCI offers professional development for teachers, produces curricula and resources for classrooms, and studies how technology, gaming and play affect how we learn. NYSCI was founded at the 1964-65 World’s Fair and has evolved into New York’s center for interactive science serving a half million students, teachers, and families each year.

Our mission is to bring the excitement and understanding of science and technology to children, families, teachers, and others by galvanizing their curiosity and offering them creative, participatory ways to learn.

NYSCI has approximately 110 full-time and over 170 part-time staff-members.
Departmental Role: Raise funds to support the work and mission of NYSCI by raising awareness of NYSCI’s work, goals, and financial needs.

Function: Provide support to a department of 8 staff. Coordinate all donor acknowledgments, assist with department mailings and maintain the Raiser’s Edge Database. This position will also manage the department’s administrative functions.
Principal Responsibilities:

1. Coordinate all donor acknowledgements, assist with departmental mailings, and maintain the Raiser’s Edge database, including creating new records, revisions and updates, adding notes, coding gifts, and running queries and reports.

2. Manage the department’s administrative functions, including but not limited to: handling invoices, office supplies, expense reports, coordinating hospitality for funder meetings, assembling materials for grant proposal submissions.

3. Schedule meetings between various NYSCI departments and the President’s office.

4. Organize and maintain important organizational documents for proposals and grant applications.

5. Manage and organizing donor files (electronic and hardcopy).

6. Conduct research to identify new prospects, (foundations, corporations, individuals) using in-house tools, online subscriptions, and other resources.

7. Prepare leading briefing reports.

8. Coordinate research materials and Raiser’s Edge notes to assure their ready access to recent information and disposal of dated material.

9. Track prospect activity with NYSCI systems.

10. Complete other tasks as assigned.

Strategies for Growth in Institutional Giving

Work directly with VP of Institutional Advancement and NYSCI’s President, Board and Senior Management to:

• Help design, implement and manage a comprehensive and strategic fund development plan (aligned with The Campaign for NYSCI) focused on expanding and enhancing corporate and foundation leadership for the institution.

• Identify emerging business leadership and industry trends with a special emphasis on developing meaningful corporate alliances and identify, evaluate, cultivate and solicit five- and six figure (and larger) philanthropic commitments to support the mission and goals of the institution.

• Create opportunities to build awareness among corporate and foundation constituencies in order to build and significantly expand positive fundraising relationships.

• Help shape NYSCI’s educational programs by participating in the development of goals, objectives, outcomes and evaluative assessments to ensure alignment with institutional mission, giving trends and donor interests.

Donor Prospecting, Cultivation and Management

Initiate opportunities for key NYSCI staff to interact with corporate and foundation prospects through meetings and site visits.

• Maintain a high quality stewardship process for active corporate and foundation prospects and donors, working closely with program staff to ensure the timely delivery of quality reports and evaluations.

• Develop and execute new approaches to foundations and corporations and coordinate these contacts to initiate the cultivation/fundraising process. Conduct research to identify the goals, net worth, history of charitable donations, or other data related to new donors to expand donor portfolio.

• Develop and execute competitive, high quality proposals for corporate and foundation prospects. Maintain a rigorous schedule of contacts with corporate and foundation representatives, creating moves management plans related to them.

• Support the overall goals of the Institutional Advancement department by assisting with writing and messaging projects as needed.

Departmental Management

Support the VP and Institutional Advancement department in the following ways:

• Work with the Finance department to develop and track corporate and foundation giving and annual fundraising projections.

• Participate in weekly campaign meetings, communicate goals & deadlines, establish communication strategies, and troubleshoot issues in an open discussion.

• Assist with administrative activities as required.

• Work effectively as part of a small but growing team.

Supervisory Responsibilities: NONE
Qualifications:
Education: BA or equivalent level degree in appropriate field.
Experience:

• 2-3 years of development experience supporting executive activities.

• Raiser’s Edge database experience including entry, query and reporting functions
Knowledge:

• Commitment to the philosophy and mission of NY Hall of Science.

• Must be a highly organized, detail oriented self-starter who is able to handle multiple projects simultaneously, often under time constraints;

• Excellent interpersonal, writing, proofreading, and Internet/technology skills;

• Expertise in Word, Excel, and Raisers Edge, and other database software;

• Donor research skills including familiarity and/or experience with LexisNexis and Foundation Center’s Foundation Directory Online are a plus.

• Demonstrated ability to establish, maintain and strengthen relationships with significant donors on behalf of an institution, and an understanding of the record keeping and stewardship systems that support a successful donor relations program (particularly Raiser’s Edge).

• The ability to organize and prioritize fundraising activities effectively.

• Ability to get ideas accepted and to guide a group or individual to accomplish the task.

• Ability to modify leadership style and management approach to reach goal.

• Demonstrable experience in working with teams with the ability to harness team creativity and translate into effective fundraising.

• Strong communications skills with the ability to express ideas clearly both in written and oral communications.

• Customer Service

a. Ability to communicate with people outside the organization, representing the organization to customers, the public and other external sources, in person, in writing or by telephone.

b. Ability to actively listen to what others are saying, taking time to understand the points being made, ask questions as appropriate and not interrupt at inappropriate times.

c. Ability to provide information to supervisors, co-workers represent the organization to customers, the public and other external sources, in person, in writing or by telephone.

• Ability and willingness to participate in events outside the workday schedule.

• Experience serving diverse audiences.

A science center, natural history museum, or children’s museum background is preferred but not required.
