**Job Description**

As Project Manager \-Legal Operations, you will be responsible for assisting with day\-to\-day operations of the Legal Department, including coordinating business content for Legal Operations’ projects, developing project plan and scheduling projects, compiling and generating reports, completing benchmarking surveys and collecting benchmarking data, drafting and sending out communications, developing and overseeing compliance with operational processes, managing department memberships, coordinating the delivery of training and development initiatives, and providing administrative support to the other members of the Operations team\. You will also be involved in evaluating, testing, training and supporting technology solutions that are being implemented by the Legal Operations Team\. You will help develop best in class policies and processes for projects to achieve maximum efficiency and alignment within the department and VMware\. You will be expected to operate in a manner that is consistent with VMware’s core values\.

The projects you will work on will include knowledge management, eBilling and matter management, contracts management, e\-signature, eDiscovery/Litigation Hold, records management, budgeting, training, metrics and benchmarking, departmental off\-sites, reporting and goal tracking\.

Primary Responsibilities:

• Responsible for one or more applications or functional areas related to business information systems for WW Sales Legal Team, Product & Tech group, Corporate Securities and M&A, Litigation and Compliance\. These systems include contract lifecycle management, ebilling, litigation hold, Product Classification Questionnaire, Legal Knowledge Portal, Patent and Compliance operations, Legal SharePoint applications and Tableau dashboards

• Responsible for functional facets of the software development life cycle \(SDLC\) including: process definition and reengineering, high and detailed\-level requirements gathering, vendor selection, fit/gap analysis, functional design, testing, training, reporting, support, and continuous improvement of business applications

• Facilitate business process review meetings with subject matter experts and refine those processes to maximize business efficiency

• Gather and define functionality, usability, reliability, and performance requirements in partnership with users for the implementation and enhancement of software systems

• Partner with project stakeholders by analyzing all requirements to formulate business specifications and translate those into application functionality, deciding when to advocate and when to compromise to arrive at a mutually acceptable solution

• Create high\-level \(functional\) designs that are accurately documented and mapped to business or architectural requirements, and communicate those designs to the technical development teams

• Document and execute user\-acceptance test plans to ensure that the system changes are error\-free and meet the approved requirements and designs

• Analyze and work with stakeholders to prioritize application defects/enhancement and participate in the change management process

• Develop and improve mixed\-media training materials and deliver training and guidance to end\-users of the business systems

• Manage projects involving business system implementations, upgrades, and process improvements including setting of project timeframes and priorities

• Develop and assist project team members with project estimates and detailed work plans

• Interact with other staff as needed to ensure smooth and efficient operation of business information systems using a professional and service oriented approach, including written correspondence, technical consultations, and meetings

• Support Operations team members on the development of project plans and the co\-ordination and collection of business content for department–wide projects

• Create and maintain Legal Operations’ department lists and metrics, project roadmaps, and executive dashboards

• Support the roll out of the Department Technology projects

• Become an expert on legal operational challenges and research solutions that are aligned to Company policy and industry best practice

• Be an active member and contributor to the Operation team, and support other Operations’ team members on other projects, where necessary

Required Knowledge & Skills

• An ability and desire to work in a global, fast\-paced and dynamic work environment that requires constant multi\-tasking

• A demonstrated understanding of how to develop, implement and enhance processes

• Minimum of 5 years of information management experience including at least 3 years working with Legal group

• Excellent knowledge of the functions and business processes used by in\-house corporate legal especially in the areas of contract lifecycle management, litigation hold, trade compliance, patent management, and compliance operations

• Experience with supporting business stakeholders on a global, enterprise system

• Extensive experience working in all phases of the Software Development Life Cycle \(SDLC\)

• Strong project management skills including the ability to define the project scope, establish a timeline, coordinate resources, communicate status, and manage the delivery of results

• Demonstrated ability to organize information and processes in a logical and efficient manner

• A high degree of emotional intelligence and the ability to interact at all levels within VMware

• Excellent use of MS Office products, including Word, Excel, and PowerPoint

• Strong knowledge of legal and compliance tools like Litigation Hold Tool \(Exterro\), SalesForce, contract life cycle management, eBilling Tools like LexisNexis, etc\.

• Poise and self\-control under pressure

Requirements:

\- Minimum 5 years of relevant experience managing projects, with an emphasis on projects within the legal departments

\- Strong functional Legal knowledge

\- Experience in implementing legal\-related technology systems or tools

\- Excellent oral and written skills, presentation skills and organization skills

\- Highly proficient in Excel and PowerPoint

\- PMP Project Management Certification a plus

\- Bachelor’s degree of equivalent experience
