General Purpose:

This role is 50% dedicated to HR Communications activities and 50% dedicated to HR Portal activities. At times, the duties will fluctuate between the two roles and one week could be 80% focused on communications and 20% focused on the portal and the next week, the portal takes up the majority of the time. Many times, the person in this role will need to juggle the associated priorities between the two functional HR areas on a daily basis in order to support the goals of the Strategy, Communications and Engagement team.

HR Portal

Responsible for maintaining the HR Staff portions of the HR Portal, including working directly with a variety of HR colleagues on their functional areas, from content setup and initial collection to portal setup and maintenance. Ensures that the HR Staff portal delivers the maximum level of effective direct access to HR users. May also provide back-up to other country portal leads in the management of other HR Portal sites.

HR Communications

Responsible to create communication content for a variety of employee audiences. Content will be shared via a diverse set of channels, such as PPT meeting decks, email messages, the web (pages, banners and blogs) and company videos, to name a few. Ensure that messaging is clear and authentic and supports company goals, written to meet company and department style guides and branding.

HR Portal Principle Accountabilities:

1. SharePoint Content Publisher

• Adopt the SharePoint role of “Content Publisher” for the HR Staff portions of the HR Portal

• Collaborate heavily with IT to ensure that the HR Staff sections of the HR Portal remain online, with all capabilities properly functioning and all information appropriately displayed

• Manage HR Portal home pages – including all department functions – ensuring that the appropriate links, buttons and other content is properly displayed according to HR Center of Expertise (COE), HR Business Partner (HRBP), and user needs

• Manage the efficient collection of Portal content from the HR community

• Set up folders and other infrastructure on the HR Portal to effectively manage pages, documents and other content

• Publish content provided by COEs, HRBPs and GBS to the HR Staff site, according to HR Portal standards

• Advise others, including COEs, HRBPs and GBS Associates, on how to create Portal content that meets the HR Portal requirements for effectiveness and look and feel – including proper use of text, font styles, font sizes, images, links, audiences, tags, etc.

• Monitor HR functional pages where COEs have chosen to manage their own content. Check for style and technical accuracy, such as pages in the correct folder, etc.

• Dynamically include banners and links to ensure that the highest-demand content is most easily accessible from the HR Portal home page

• Manage approval workflows for content provided by other HR users, including approving pages/ content that meet HR Portal criteria and ensuring that pages/ content receive the appropriate level of approval from COEs, HRBPs and GBS per standard HR Portal processes (approval process may or may not be automated)

• Collaborate with the Global HR Portal Manager to ensure that HR content is appropriately translated (if necessary) and published to the HR Staff portion of the HR Portal, per the directions of the Global HR Portal Manager

• Collaborate with the HR Portal Technical lead to learn and maintain any SharePoint 365 pages as needed.

2. HR Customer Service

• Monitor and analyze HR Portal feedback to ensure that the HR Portal is meeting HR Staff needs, including the creation and positioning of content

• Serve as the escalation point for user Portal issues that are not addressed at the first level of GBS

• Monitor and analyze user data on the HR Staff Portal, including (but not limited to) page visits (“hits”) and search data to ensure that the highest-demand pages and content are easily accessible with the least amount of effort/clicks (analytics capabilities may change over time)

• Collaborate with GBS-HR to ensure that customer questions received by GBS have appropriate answers on the HR Portal

• Refer inaccurate content back to the original owner for editing as required

• Advise COEs, HRBPs and GBS on content that should be created to better serve user needs and demands

• Maintain strong collaborative relationships with HR Staff COEs, HRBPs and GBS team through consistent communication including leading regular meetings, sending Portal metrics, etc.

3. Process and Service Excellence

• Document and maintain processes at the country level that are not already documented at the global level OR are unique to the country, including (but not limited to) workflow and approval processes

• Use Lean and other Flextronics methodologies to consistently make our HR Portal and HR Portal processes more efficient and effective

• Identify and recommend new functions (to IT and to the Global HR Portal Manager) that would improve direct access and the user experience

• Survey HR Staff to identify functions, methods and processes that would improve the HR Portal – particularly the user experience; utilize the standard portal survey created for this purpose

• As required, partner with GBS at the local level on non-Portal systems to increase direct access and automation

• Champion the HR Service Delivery Model at both the site and country level, helping to lead HR, managers and employees to direct access first, then GBS, then COEs

• Further champion the HR Portal as the GBS knowledge management system by ensuring that GBS Associates use the Portal to answer manager/ employee questions AND update and/or create content to answer those questions if it does not currently exist on the HR Portal

4. Management

• Train and manage (usually dotted line) GBS and other resources assigned to the country Portal team in the execution of the above responsibilities
HR Communications Principle Accountabilities:

1. Content Management & Editorial

• Develop high-quality, effective messaging and materials, including researching and writing effective communications pieces.

• Plan the design and layout of publications, recommend and implement communications and marketing of HR projects and strategies.

• Develop content for HR Portal and People & Resources communication channels, HR XChange, HR Lean, social media communication.

• Develop and execute sustainable plan for HR staff to refresh and maintain communication and marketing materials.

• Support subject matter experts in HR by reviewing, improving, and adapting existing content, or developing new content, for HR Portal and other websites managed and maintained by the Strategy, Communications and Engagement team.

2. Marketing of HR Programs

• Collaborate with COE/GBS/Site HR in Communications Council for effective planning, execution and dissemination of HR Program communications.

• Work with the Graphic Designer to design a suite of templates for HR communication emails, newsletters, presentation and others.

• Evaluate and report on effectiveness of communications strategies and recommends changes or improvements.

3. Translation Management

• Manage Translation Desk webpage on HR Staff Portal to enable uninterrupted service to HR employees.

• Manage the running of HR GBS Translation Desk through collaboration with all GBS centers to ensure output is accurate and satisfactory at all times.

And other communication projects as assigned to support Human Resources’ strategies and programs.
