### Position Summary Information
Job Summary
The Associate Director of the Business Office will assist the Director in all aspects of the department, financial reporting and administrative responsibility for all financial pro forma development, business functions, budgets, accounting reports, and human resource operations for the department that includes residence halls and university apartments. Has Signature authority for all Residence Life Accounts.
Required Education and Experience
Bachelor’s degree or any equivalent combination of training and experience. Seven years of progressively responsible management experience, including experience in business, accounting or personnel operations.
Preferred Education and Experience
Master’s degree and/or professional certification in business, higher education administration, human resources or other related field. Ten years experience in a large University setting with supervisory experience of staff and budget. Prior experience with university auxiliaries and human resources.

Knowledge of large budget development and financial management principles for large organizations and capital improvements. Ability to work effectively with students, staff and faculty. The individual in this position is required to handle Protected Health information (PHI) as defined by HIPAA regulations. The individual is required to handle PHI in accordance with A&M; System policy and is further required to complete HIPAA training as a condition of employment, within a reasonable timeframe after the individual’s employment, and on an as-needed basis thereafter. Occupant will use a video display terminal. Travels from building to building.

Duties Performed
Serves as part of the departments leadership team related to administering and monitoring the financial management of the department to include:
* Administers and monitors budgets for Residence Life accounts
* Administers and monitors budgets and finances for White Creek Apartments in accordance to the contact and other jurisdictions outlined in the public-private partnership. Following the Universities best business practices.
* Work as a team leader collaborating, establishing and shaping the relationships between Residence Life, Division of Finance, and the private partner team members as it relates to the accounting and financial functions.
* Develop pro forma reports as needed for the department.
* Assures compliance of all department, division, university and government standards, policies and procedures.
* Monitors and authorizes Residence Life purchases
* Authorizes and approves refunds, purchase requisitions, invoices, DBR’s, DCR’s, travel, and payment vouchers
* Establishes and justifies residence hall and apartment rental rates for approval
* Develops, in conjunction with department staff, capital project descriptions and expenditures from operating and reserve accounts
* Performs short and long-term budget/financial planning/assessment
* Supervision of daily accounting operations
* Reviews and approves reconciliation of all operating/fiscal accounts, including housing deposits, refunds, and e-pay reconciliations
* Supervision of travel payments and develops travel procedures for department staff
* Serves as the department’s office manager/delegate for FAMIS access and use authorizations
Duties Performed
Administers and monitors the human resources operation of the department to include:
* Manages and oversees all human resource and payroll functions and provides direction for practices and initiatives
* Recruitment, selection, training, and evaluation of department personnel
* Review of the departmental disciplinary actions and salary recommendations for all staff
* Supervision of personnel and budget action documents for approximately 310 full-time, part-time, and student employees for the department. This includes payroll processing, maintaining personnel records and other confidential records, LeaveTraq and HRConnect training and administration, posting job vacancies and advertisements with TAMU Employment Office, and monthly and bi-weekly departmental payrolls.
* Serves on department, division and university committees/task forces.
Advances the philosophy of multiculturalism and actively promotes diversity

* Leads as a strategic partner for the planning and development related to the Business Office.
* Assists in setting departmental standards, expectations and priorities, goal setting, long-range planning and evaluation processes.
* Assists with department-wide communication and departmental rule making.
* Assists the Director in formulating and implementing policies and procedures for the department.

Directly supervises all Business and Accounting staff for the Business Operations of Residence Life.
