**Job Description:**

Student Administrative Services (the M Center) is an integrated student services department that provides quality, personalized and efficient “one stop” services for students in the areas of academic records, financial aid, and student accounts.

The Assistant Registrar provides leadership and management in the following areas:
* Shares M Center team responsibility for answering general questions and processing routine transactions related to course registration, grades, academic advising, academic regulations, major declarations, graduation requirements, class schedules and room assignments, course credit evaluation, transcript requests, cross-registration with other institutions, study abroad, financial aid applications, student loans, work-study assignments, student accounts, and individual payments. Resolves issues and problems or refers to appropriate personnel to ensure the highest level of customer service.
* Assists the Registrar by generating reports and creating and running queries in MS Access, conducting degree audits, certifying graduation eligibility, verifying enrollment statuses, and monitoring distribution of advising materials.
* Interprets College policy for students, faculty, and staff. Counsels students on their options while adhering to College policy.
* Updates degree audits for students (MAPs).
* Oversees the International Study students including approving applications for outgoing students and for incoming international exchange students, meeting with students, corresponding with programs, updating website using OmniUpdate, coordinating Study Abroad workshop twice a year, updating exchange contracts as needed, and acting as secretary to the International Study Committee.
* Oversees the Domestic Exchange students, both incoming and outgoing, by approving applications, meeting with students, corresponding with programs, updating website using OmniUpdate, and updating exchange contracts as needed.
* Oversees the Cross-Registration program by approving applications for incoming students, maintaining contracts as needed, corresponding with partner institutions, mailing transcripts, and transcribing grades.
* Processes Academic Records forms by caseload at both the undergraduate and graduate level.
* Manages extension unit transcription by corresponding with extension programs, coordinating approval for new programs and courses, transcribing student records and grades, and mailing transcripts.
* Conducts quality assurance testing and assessment to ensure accuracy of record-keeping
* Facilitates the Academic Standing Committee meetings, distributing results and counseling students on results.
* Participates in student events such as Preview Day and Orientation representing Records and the M Center by making presentations to prospective students and counselors.
* Counsels students on readmission process.
* Manages transfer credit for new and continuing students.
* Performs transfer credit evaluations and articulations.
* Assists Registrar with development and maintenance of web-based information. Assists with development and maintenance of on-line technologies, such as degree compliance and registration.
* Participates in the building and maintenance of the course schedule each semester. Determines effectiveness of process and recommends improvements. Acts as gate-keeper to ensure compliance with guidelines and policies in respect to enrollment limitations, approved meeting times, and processing of course change forms.
* Monitors the entering of grades by staff and faculty.
* Reviews and updates the catalog.
* Manages support staff in day-to-day operations. Supervises work-study students. Maintains written procedures.
* Participates in M Center and Records staff meetings. Participates on internal committees.
* Perform other responsibilities, as needed.

**Requirements:**

The successful candidate will have a bachelor’s degree plus two years of experience working in an academic setting, and excellent communication skills. Prior experience in a Registrar’s Office is preferred. Knowledge of processes and procedures of a Registrar’s Office, including an understanding of FERPA and related data access issues. Experience with integrated education software, preferably Banner, is highly desirable. Experience in Web applications as they relate to academic records would be a plus. Demonstrated experience providing excellent customer service. High level of organization and attention to detail is required. The ability to quickly learn technical systems is highly desired. An interest in promoting women’s education and leadership is desirable.

Other requirements: The ability to work effectively as a member of a team and with individuals and groups in a diverse, multicultural environment. The ability to meet deadlines and handle multiple tasks simultaneously is required. The ability to work evenings and weekends as necessary.

Compensation commensurate with experience, and includes an excellent benefits package including medical/dental/vision/life/LTD insurance/403(b) retirement plan, 10 days of vacation the first year plus 12 sick days and 10 paid holidays annually.
