Channel Manager Q&A: What’s the difference between Full Users and Standard Users?

“What is the difference between Full Users and Standard Users? Aren’t they the same thing?”

I can certainly see where there may be some confusion in separating the difference between SPLA licensing user types and Perpetual licensing user types.

Perpetual licensing is typically associated with an on-premise Microsoft Dynamics ERP solution. The exception is License Mobility through Software Assurance,  in which case the perpetual model can be hosted by the Myappsanywhere Cloud. Under perpetual licensing, users can license the Dynamics ERP solution through four core mechanisms, the Starter Pack, the Extended Pack, the Full User, and the Limited User.

The Starter Pack provides customers core financials and distribution functionality and includes three full user licenses. Businesses need only to license one Starter Pack per ERP deployment. If advanced modules are required to integrate core financials and distribution management with comprehensive functionality extensions such as manufacturing, professional services, and advanced forecasting and budgeting, then customers can license the Extended Pack in addition to the Starter Pack.

The first three full users that are included in the Starter Pack will have access to all of the graduated functionalities. If a business has more than three users accessing the ERP application at the same time, additional users must acquire user licensing. To access the Dynamics ERP solution functionality, these users are licensed through user licenses on a concurrent basis. Concurrent user licenses can be shared between multiple individuals with the limitation being the number of individuals that are able to access the ERP solution at the same time.

In order to keep track of how many users are concurrently logged in, the Microsoft Dynamics GP 2013 and Microsoft Dynamics NAV 2013 contain two concurrent user “counters” – one for Full Users and another one for Limited Users. Full User licenses provide users unlimited read and write access through all modes of access, including Windows Client, the Web Client, the Microsoft SharePoint Client (in the case of Microsoft Dynamics GP 2013), or any other mode of access going through the API (including Web Services).

As long as the number of users needing simultaneous access to the ERP solution functionality does not exceed the number of Full User licenses, these users are properly licensed for full read and write capabilities to the complete solution functionality.

Limited user licenses provide users unlimited read access, but limited write access to all of the licensed solution functionality through any mode of access including the Windows Client. The Limited User License provides businesses a cost-effective alternative for extending ERP to users who will need access to perform tasks in Microsoft Dynamics GP 2013 such as “Read” access to data contained in the ERP solution through the Windows client; or “Write” access through the time and expense functionality and in Microsoft Dynamics NAV 2013 such as “Read” access to data contained in the ERP solution; or “Write” access through the Timesheet functionality and “Write” access to a maximum of three table objects in any range number with some exceptions.

SPLA licensing is associated with a Hosted/Managed Microsoft Dynamics ERP Solution. Because SPLA licensing is a lease model for hosting providers, who are the holder of the Microsoft licenses and provide the software service, customers can rent licensing on a monthly basis without any long-term commitment paying for what they use, when they use it. Under SPLA licensing, user access to the Microsoft Dynamics ERP functionality is licensed on a per user basis, each individual user requires a unique Subscription Access License (SAL). User SALs are specific to an individual and cannot be shared. However, if a user leaves the organization, the SAL may be reallocated to another user.

There are three types of SALS available for Microsoft Dynamics GP 2013 and NAV 2013, Full User, Standard User, and Limited Users. Full user license type provides the assigned user main or ancillary access through all modes of access to all of the functionality in the server software across the Dynamics ERP solution. This includes advanced functionality offered through the Extended Pack. Standard user license type allows provides the assigned user main or ancillary access through all modes of access to all of the functionality in the Starter Pack across the ERP solution. Limited user licenses provides the assigned user main or ancillary access through all modes to the ERP solution to perform tasks in Microsoft GP 2013 SP2 such as “Read” access to data contained in the ERP solution; or “Write” access via the time and expense functionality and Microsoft Dynamics NAV 2013 such as “Read” access to data contained in the ERP solution; or “Write” access via the Timesheet functionality and “Write” access to a maximum of 3 table objects in any range number with some exceptions.
