/Sales Coordinator, Group Sales is responsible for supporting strategic relationships with all identified accounts (Focus: Key and Partner Accounts). Furthermore, the Sales Coordinator, Group Sales supports the group team in their efforts in evaluating and building/maintaining relationships with Development and Target Accounts. The Sales Coordinator, Group Sales is expected to assist in meeting established room night and revenue goals as set by the Regional Director of Sales. At the same time he/she represents The Ritz-Carlton Hotel Company portfolio professionally and manages responsibilities that ensure a strong relationship as a liaison with internal and external customers anytime. The Sales Coordinator, Group Sales ensures compliance with Ritz-Carlton Operating Standards to maintain brand integrity./
*RESPONSIBILITIES*
* Coordinate, participate and lead as necessary, travel opportunities including Tradeshows, Industry Road shows, sales appointments, familiarization trips.
* Contribute to the research and update of team on industry, market and account trends.
* Represent Ritz-Carlton Hotel Company.
* Develop and maintain respectful working relationship at all levels of the organization, including Frankfurt GSO and with property based Group Sales Managers & Administrative staff, while working within the hierarchy to ensure results and goals are achieved.
* Thorough knowledge of Top Accounts per segment.
* Thorough knowledge of the overall market in which the Frankfurt GSO sells – competitors strengths and weaknesses, economic trends, supply and demand, etc.
* Support efforts to develop both Development and Target Accounts.
* Manage special projects when applicable.
* Participate in Sales Meetings.
* Demonstrate strong understanding and knowledge of Ritz-Carlton products & services and key hotels and destinations.
* Effectively manages customer budgets to maximize revenue and meet customer needs, and identifies opportunities to up-sell products and services throughout the sales process.
* Responds to incoming inquiries within their market segment; manage distribution to appropriate hotel(s).
* Close the best opportunities for the hotels based on market conditions and hotel needs.
* Accurately forecast Frankfurt GSO production and maintains segment reporting.
* Complies with Marriott Hotel Holding and Marriott International Hotels Limited Regional Office policies and procedures.

External:
* Ensures a high level of customer satisfaction and builds long terms mutually beneficial customer relationships to support future revenue growth.
* Proactively facilitate communication with the customer base and hotels.
* Coordinates and communicates verbally and in writing with customer (internal and external) regarding event details. Follows up with customer post-event.
* Is available to solve problems and/or suggest alternatives to previous arrangements.
* Ensures products and services sold to the Event Planners meet or exceed their expectations, create loyalty and leads to increased market share.
* Sets a positive example for guest relations.
* Interacts with guests to obtain feedback on product quality and service levels. Effectively responds to and handles guest problems and complaints.
* Emphasizes guest satisfaction and focuses on continuous improvement.
* Utilizes all available technical systems to capture and manage customer information on a daily basis.
* Assist with scheduling and preparing for customer presentations to accounts based upon customer needs.
* Communicate with clients to gain full understanding of decision making process including history, key decision factors, time line, and decision hierarchy.
Internal
* Ensures ladies and gentleman on property understand expectations and parameters.
* Participates in the development and implementation of corrective action plans.
* Maintain strong relationship with property sales teams including Group Sales Managers and Sales Coordinators/Administrative staff.
* Maintain strong and collaborative working relationships with all members of Global Sales Offices
* Promote positive relations with guests and employees.
*EXECUTION*
* Support Global Sales Office initiatives by assisting in increasing the GSO team revenue production, using negotiation skills to maximize conversion of group leads, while utilizing effective sales skills in overcoming objections.
* Promote the financial success of The Ritz-Carlton Hotel Company, LLC by ensuring all bookings and interactions support long-term financial reasoning.
* Maintain complete knowledge of Ritz-Carlton Hotel portfolio, both nationally and internationally; develop a complete and thorough knowledge of basic hotel capabilities related to numbers of rooms and meeting space capabilities and all hotel characteristics as relevant to Group segment.
* Anticipate and respond to all customer needs within a timely manner, receiving group requests and coordinating with hotels to obtain relevant proposals and required follow up.
* Maintain high level of knowledge of the competition’s product.
* Comply with all Global Sales Office policies and procedures.
* Field and prioritize all incoming inquiries and opportunities, analyze the capabilities of the request and manage distribution of these inquiries to appropriate hotel (s).
* Evaluate leads and offer comparable alternative Ritz-Carlton locations to existing proposals, where applicable.
* Assist with incoming phone calls (when necessary) in a pleasant manner within 3 rings, following Ritz-Carlton telephone etiquette.
* Handle internal and external guest opportunities by following instant pacification procedures ensuring guest satisfaction.
* Ensure paperwork is processed to clients, other departments, etc., with a timely manner. Complete all assigned paperwork within a timely manner.
* Produce weekly and monthly production reports with Sales Manager production and individual property production figures.
* Coordination and preparation of Frankfurt GSO office reporting – Group segment.

* Maintain updated list of key group contacts and each Ritz-Carlton property worldwide.
* Organize all group correspondence per account and lead and set up tasks for relevant follow up.
* Maintain salesforce.com and ensure accurate tracking of information and deadlines, etc.
*LEARNING & APPLYING TECHNICAL EXPERTISE*
* Maintain and continuously develop computerized file databases of complete customer and account history.
* Develop reporting mechanism to continuously educate hotel managers on the updated status of accounts.
* Work within Marketing Plan, contributing to the streamlined content of market conditions and trends within each segment.
