**Job Summary**

Meet group coordinator/host\(ess\) prior to functions, make introductions, and ensure that all arrangements are agreeable\. Read and analyze banquet event order in order to gather guest information, determine proper set up, timeline, specific guest needs, buffets, action stations, etc\. Respond to and try to fulfill any special banquet event arrangements\. Follow up on special banquet event arrangements to ensure compliance\.

Follow all company and safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager; and complete safety training and certifications\. Ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets\. Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, and thank guests with genuine appreciation\. Speak with others using clear and professional language, and answer telephones using appropriate etiquette\. Develop and maintain positive working relationships with others, and support team to reach common goals\. Ensure adherence to quality expectations and standards\. **Priority of Daily Responsibilities**

+ Leads\- Proposals
+ Event Outlook to operations team
+ Follow up to space holds \(following Friday of request or within 24 hours of additional lead\)
+ Confirmation calls to clarify contract information \(i\.e\. menus, wine, set up, bill closure, etc\)
+ Turning over information to restaurant \(Open table for Cafe Waterside restaurant and/or REOs for other restaurant\)
+ Follow up emails to clients, day after events
+ Touching base with contacts on day of event
+ Being at events to hand over contact to operations team
+ Gathering/Sending information for various special events to local clientele

_Main Objective is to assist the management team develop, implement and execute the revenue, reservation and marketing programs for Cafe Waterside, Champions, Pool Bar\. All marketing efforts and collateral will support the Tampa Marriott Waterside sales efforts\. All efforts are focused on increasing guest satisfaction and overall F&B Operation revenue\._

**Job Summary** :

Working with smaller affiliated convention sub\-groups to plan and execute flawless events in meeting rooms, restaurants and guest suites\. Responsible for preparing all event documentation and coordinates with sales, property departments and customer to ensure consistent, high level service throughout pre\-event, event, and post\-event phases of property events\. The position primarily handles less complex property events and recognizes opportunities to maximize revenue by up\-selling and offering enhancements to create outstanding events\.

**Work Functions** :

+ Greets customers and hands off to event operations and restaurant operations
+ Sets a positive example for customer service
+ Coordinates and communicates event details both verbally and in writing to the customer and the ops departments
+ Makes presence known to customer at all times in\-order to drive excellent ESS scores
+ Follows up with customer post\-event
+ Responds and handles guest problems and complaints
+ Up\-sells products and services throughout the event process
+ Works with property staff and customers to address any operational challenges associated with the group
+ Adheres to all standards, policies and procedures
+ Performs other duties as assigned to meet business needs

**Essential Functions:**

**Information**

+ Communicate current **Menu Information** to all necessary areas of both hotels utilizing G\-Drive and available technology\.
+ Coordinate and maintain the **collateral material** for all marketing efforts in concertwith the Tampa Marriott waterside marketing department\.

+ Coordinate **sales kits & large party menu information** with culinary and restaurantLeadership Teams\.

+ Network and provide collateral material for Holiday and F&B events to all concierge and key guest service department\.

**Sales & Revenue Programs**

+ Work closely with the Tampa Marriott Waterside **Sales & Event Planning TEAMS** to capture all catering business looking for alternative dining experiences\.
+ Implement a **large party sales program** targeting the convention market\. Establishrelationships with regional sales office, other hotels sales & catering teams\.

+ Create referral program that can be easily tracked and measured for associates with highexposure to our guests\.

+ Join local **concierge association** and a minimum of one additional organization thathas potential to bring additional business to F&B outlets & Tampa Marriott Waterside\.

+ Coordinate a quarterly **Roundtable Luncheon** for key area business contactsinvolving F&B and Hotel Management\.

+ Develop referral programs with local hotel concierge to include other downtownproperties \.

+ Establish relationships with Blue one **& Travel** companies\.

**Marketing / Advertising / Promotions**

+ Schedule a minimum of 4\-6 **community events** during the calendar year\.
+ Coordinate marketing efforts for Champions, Cafe Waterside, holidaysevents and all seasonal promotions\.

+ Flyers must be created weekly and distributed to Front desk, valet and local residences\.

+ F&B and Hotel \(Sales & Marketing\) efforts as requested including social media\.
+ Work directly with local & corporate **Public Relation Agencies** contracted for F&BTampa Waterside Marriott\.

+ Coordinate promotional events with our **Business Partners** and national vendors\.

**Reservations**

+ Work directly with management and host team coordinating the reservations forSpecial events and large parties with custom menus and daily reservation confirmations\.

+ Communicate information with personal planning to increaseadvance reservations from transient business\.

+ Coordinate reservation confirmations for special & holiday events and all parties of15 people or more\.

**Operations**

+ Be a **VISIBLE PRESENCE** during major events in restaurant and during peakbusiness\.

+ Assist restaurant operations when needed\.
+ Knowledgeable of restaurant and culinary operations\.
