The general purpose of the position is to collect the payments for all outstanding invoices, maintain outstanding relationships with our clients, provide clients with updated information about their invoices or statements, provide documentation, refunds, help with check applications, and strive to keep the DSO as low as possible. Act as a liaison between Finance, Client, and Sales Team.

• Notify Clients in U.S.A., Canada and Europe via phone or e-mail of all past due invoices starting at 40 days. Advise clients of alternate payment options. Draft e-mail letter and include invoice copies. Collaborate with Account Managers, Sales PC’s and TM consultants to provide specific program details and summary of activities for programs. Review accounts frequently for resolution and follow up as necessary. Respond and track emails from client inquiries utilizing PeopleSoft, RightTrack, and bank. (40%)
• Verify cash payments. Receive credit card payments and forward information to Corporate. Research, evaluate and confirm all odd, duplicate and unidentified on-account payments using on-line Client portals; corporate banks in both USA & Canada; PeopleSoft and RightTrack as well as securing copies of checks and remittance advices. Instruct /authorize corporate AR on reapplication of funds. Manage and authorize refunds. Draft personalized letters detailing refund investigation and include pertinent paperwork. Advise and assist Corporate AR of electronic payment application. (20%)
• Collaborates with client(s) Accounting departments to resolve various issues I.e. banking information, remit to address, electronic billings issues, invoice adjustments, reversed or revised billings, lost checks, duplicate payments. (10%)
• Completes and returns client account forms, which include, but are not limited to General vendor forms, banking forms, certificate of insurance, W-9 forms. Create or complete Statement of Accounts, Report Manager reports, ATB, faxes and other related reports for client and corporate. (5%)
• Analyze individual office ageing reports to determine status of payments. Research and review invoices (single and consolidated) using RightTrack and AR billing Drive. Reports client account statuses to Accounts Receivables manager via Delinquent Report and team conference call or as requested my A/R manager. (5%)
• Collaborates with Collections team members and/or project managers on problem client accounts to determine best course of action for collecting payment and provide activity status, to raise issues with problem accounts, and share best practices, provide coverage for colleagues when needed; generate monthly reports to clients when requested. (5%)
• Notifies Sales, Finance and Billing teams of any client account changes. Works with Teams to ensure changes have been made. (5%)

• 1-3 years of collection experience and customer service experience required
• PeopleSoft experience preferred
