This is a part time role for a period of 12 months. The working days/hours are Tuesdays & Thursdays, 9am – 5.30pm.
Role
Administrative support for the Moody’s Analytics team in Australia and support for departmental initiatives as required.
General operational support for the MA Sales team.
Office Management
Key Responsibilities
General Administrative Support
Provide general administrative assistance to include copying, faxing, filing, spreadsheet work, database maintenance and presentation preparation. Acquire and maintain a good understanding of Moody’s business, and particular business line being supported, in order to provide optimal customer service. Uses initiative to relieve executives of detail work. Opening, sorting and distributing of incoming mail, facsimile messages and other deliveries. Packaging and arranging outgoing courier deliveries.
Department Support
Provide general administrative support for MA activities including the timely on-boarding of new employees (including follow-up on start date), processing all aspects of move requests, tracking group assets (i.e., hardware and software), involvement in group event planning and in group-wide initiatives as assigned.
Office Management
Receive all visitors of MA and direct them accordingly. Maintain the general tidiness of the office area and any associated conference/meeting rooms including booking registers. Order and maintain stationery and office supplies ensuring stock records are accurate and detailed. Maintaining and organizing the repair of all office machines and equipment as required. Correspond with Building Management. Follow up on external suppliers, i.e. regular deliveries, office services.
Phone Coverage
Answer all phones promptly and in a pleasant and professional manner. Take detailed messages and deliver them without delay to the intended party or assist callers by redirecting them to another available party who can help them.
Travel & Entertainment
Arrange all travel for team members including air, rail, car service, and hotel and conference registrations taking care to be mindful of deadlines and working to ensure that the most economical options are taken advantage of. Timely and accurate preparation and submission of T&E reports for each employee supported, ensuring that company policies are followed and that proper and organized documentation is provided to support the report.
Meeting Coordination
Process meeting requests for team including setting up appointments, reserving conference rooms, requesting security passes for guests, arranging for teleconference numbers, refreshments, handouts, etc.
Accounts Payable
Timely and accurate preparation and submission of Accounts Payable vouchers, ensuring that proper accounts are used, and amounts are correct and that proper and organized documentation is provided to support the voucher.
Other Commercial Responsibilities
Proofreading, editing and formatting of documents. Assist the sales team with presentation/event preparation.
Qualifications
A minimum of 12 months relevant work experience, preferably within the Financial Services industry.
Intermediate to advanced skills in the Microsoft Office Suite.
Superior time management and organization skills, with demonstrated ability to manage multiple tasks.
Excellent stakeholder management, interpersonal ability and communication skills (both written and verbal) with the ability to build rapport.
Ability to work autonomously, employ initiative to find solutions, prioritize and exercise discretion.
A proactive, flexible and customer-focused approach to work and a willingness to learn and share information/skills. Self-motivated and enthusiastic with a strong ability to work in a team environment.
Experience with event organization, editing and/or sales advantageous.
