Full Description

Reporting to Serco`s Head of ITS Applications – ASPAC, the ITS SharePoint Administrator will be responsible for:

SharePoint Admin Functions – Manage Software Releases – Day to site management and admin functions – Day to day site workspace setup for (Contract, Project, Bid, Community & Team) – First and Second Level Support

Data Migration Activities – Attend meeting with business to work through the data migration process – Managing the entry and exit criteria for data migration activities – Facilitate data migration scanning activities with the business – Facilitate data cleansing activities with the business – Facilitate data migration of the business data based on business requirements

The ITS SharePoint Administrator will be responsible for contributing to the roadmap for SharePoint (-The Hub”) and will own the relationship with the support partners for -The Hub”, to ensure contracts and SLAs meet the business requirements, and effective governance is in place.

This role is required to support the team with operational activities including resolution of incidents, review of open tickets and administration activities if and when required.

The role will contribute significantly in ensuring that a safe, secure environment is maintained at all times through the implementation, management and support of electronic information systems, protocols and procedures.

As a member of the broader Serco ASPAC Information Technology Services team, the ITS SharePoint Administrator plays a role in the implementation of standardised applications services aligned with the overall ASPAC Information Technology Services strategy.

The IFS SharePoint Administrator is a member of the ASPAC Information Technology Services team and reports to the Head of ITS Applications.

Key accountabilities:

The following duties are provided as a general guide in relation to the requirements and objectives of this position. This person may also be required to undertake any other activities as directed by either their direct or indirect manager. – Coordinate all Data Migration activities to move all required data onto The Hub. – Liaise with owners and members of organisational units to support the maintaining of up to date news, content pages and active collaboration areas (workspaces) – Review search usage reports and liaise with business admins (owners / members) to improve results – Review site usage reports to be informed of the areas receiving most visits – Review Audit Reports (Excel Spreadsheets) – Review and approve / decline requests for new collaboration areas (workspaces) – Perform migrations of data to publishing and workspace areas – Liaise with vendor / report incidents to vendor as required – Assist with training to business owners and members – Restore deleted files from the individual and site recycle bins (30 day limit currently in place) – Responds to business SME questions. – Handles permission provisioning – Maintain procedures and duties that ensure the effective and efficient operations of The Hub – Owns the relationship with The Hub outsourced partners and holds them accountable for delivering to contract requirements. – Manage effective governance processes with outsource partners – Work directly with Senior Leadership teams to develop and maintain the application strategy for The Hub and deliver in alignment with joint priorities. – Provide regular reports on issues with specific suggestions for enhancements. – Comply with all policies, procedures and legislation applicable at the respective facilities and as defined in the Serco Management System (SMS).

Essential technical and professional skills, knowledge and qualifications:

Good experience implementing or managing web sites or intranets

Intermediate understanding of SharePoint from an end user perspective

Sound understanding of the components of common web technology (HTML, CSS, Javascript)

Excellent verbal & written communication skills

Excellent interpersonal skills

Ability to handle sensitive and confidential situations with diplomacy

Highly experienced with Microsoft Office applications – including Word, Excel, PowerPoint, Outlook

High level of comfort with social software and other web-based technologies

Experience dealing with application outsourced contracts, SaaS providers and vendors.

Previous management experience of application support teams.

This role requires a high level of customer focus when dealing with Serco teams and Serco`s customers.
