Description & Responsibilities

The Associate will work with the Senior Manager of Events & Sponsorship to organize special events and raise sponsorship funds. The Associate role will report to the Senior Manager of Events & Sponsorship. This job offers an opportunity to a professional, highly organized, detail oriented and energetic individual to engage with staff in all program areas of Ceres and interact with external constituents. Responsibilities include but are not limited to:

• Communicating directly with hotels and other external vendors on logistics, audio/visual needs, and menu selection for events.

• Initiating conversations with outside vendors about contracts, then turning over the final negotiation to the Senior Manager

• Working with vendors to ensure the services detailed in the contracts are provided within the appointed budget and timelines

• Researching potential locations for the 2015 Anniversary Gala and providing support to the Senior Manager in the site selection process

• Serve as the project coordinator for 25th Anniversary activities as directed by Senior Manager

• Drafting invitation letters and outreach e-mail messages for high-level speakers and sponsors

• Tracking and coordinating sponsorship outreach

• Coordinating staff travel and onsite lodgings for staff for organization-wide events

• Building individualized templates for speaker prep and internal program flow binders for the conference and summit binder, supporting on speaker prep documents

• Supporting Communications on writing and editing text for Ceres' website, newsletters, and materials related to the Conference, Summit and Anniversary activities

• Providing onsite logistical support for the Ceres Conference, Investor Summit, and Anniversary Gala

Qualifications

• Bachelor degree required

• 2 years of office experience required

• 2+ years of events management experience

• Proficiency with Microsoft Office, necessary

• Strong oral and written communication skills

• Detail oriented person with strong organizational skills

• Ability to work both independently and collaboratively as part of a team

• Ability to handle and prioritize multiple tasks and meet deadlines in a fast-paced environment
