Job Title: Quoting Department Coordinator For Vitamin Manufacturing Services

Summary of Position:

This is a quote coordinator position working in and with a dynamic and extremely fast paced environment and team. Primary mode of communication in this position is email and phone. This person will interface and work with our sales team, our operations manager and the various facilities and vendors/suppliers. Organization, resourcefulness, and extreme attention to detail will be some of the qualities needed. This position will primarily focus on the vital function of ensuring the smooth flow of quotes from our sales team to our particular manufacturing facilities or vendors/suppliers and eventually back to our team for our clients. This will entail the complex management and learning of which quotes or products are best for particular facilities or suppliers/vendors. Among others it will also include the receiving and sending of quoting documents, The review and possible revision or correction of quotes that are incomplete or incorrect. Simple formulation suggestions or modifications. Answering questions regarding ingredients, manufacturing methods, supplies, pricing, and other items our growing company might need. Ensuring we have document control in place on product testing front end and back. Collecting necessary documentation from manufacturers and ensuring we have certificates on analysis on file, for final production.

The average day in this position consists of reviewing quotes, communicating with account executives about their clients quotes, communicating with facilities and vendors to complete product quotes and managing and delivering those to the account executives. Strong project management skills will be crucial to managing as many as 50 client quotes at a time.

Duties and Responsibilities:

Works with new and existing Customers along with the Sales Department to develop and prepare for quote new or existing products.

Works directly with Vendors to build out new products and prioritize quotation projects.

Maintains promised lead times to ensure process is efficient.

Proposes and evaluates formulation strategies for both research and development compounds.

Records, compiles, and analyzes research data relevant to product development and evaluation procedures.

Inputs customers new and/or revised products into a formula form and prepares it for quotation process.

Prepares regulatory documents as appropriate. Keeps and updates all records in regards to formulas and formula costs.

Works with purchasing to locate and approve new raw materials and suppliers.

Helps troubleshoot manufacturing problems related to formulation and out of spec capsules, tablets, powders and softgels.

Responsible for checking labels and supplement facts against formulations for first time productions

Creates and maintains quality in an ever-changing and developing environment.

Performs other duties as needed


Two to Three years related experience or equivalent.

Experience in Project Management

Must be able to speak, read, write, and understand the primary language(s) used in the workplace

Above Average Math Skills: Required for weight conversions, percent activities, heavy metal calculations, label reviews, understanding a COA/spec sheet/, molecular weights, etc.

Proficient on Microsoft Word, Excel, Power Point and Outlook. Excellent knowledge of Excel is required.
