Art & Design Gallery Administrator FT (Napa County)

ÆRENA Galleries, with Locations in Yountville, St. Helena and Healdsburg is seeking a Full Time Gallery Administrator to join our expanding business.

We offer an assortment of experiences and retail presentations in a variety of settings. St. Helena: a traditional gallery; Yountville: a distinctive boutique wine tasting, furnishings, art and antique venue; Healdsburg: our newest art and design location. We also exhibit at three sculpture gardens at hospitality partner properties in the Napa Valley and Sonoma.

In this position you will be responsible for working with the Inventory Analyst and Gallery Director(s), along with a team of Gallery Administrators and Assistants on daily operations. This includes day-to-day general operations of the gallery, sales and operational support of the Art and Design team. This position is based out of the Napa office & Yountville gallery.

Job Responsibilities:

• Assist Inventory Analyst with inventory intake, distribution and returns

• Day to day administrative and operational support to Art Consultants & Gallery Directors

• Act as a liaison with marketing department to manage web images, email and print initiatives, including updating price lists.

• Create outreach lists for Art Consultants

• Management and distribution of marketing collateral for gallery locations and strategic business partner locations.

• Recruitment of interns, and assigning and managing their projects

• Answer incoming calls

Job Requirements

• Extremely detail oriented

• Ability to work as a team player

• Excellent interpersonal and strong verbal and written communication skills

• Knowledge of Microsoft office suite a must

• Salesforce.com, Photoshop, InDesign, and/or Publisher, a plus

• 2 years art, home furnishing, luxury retail, interior design showroom experience preferred

• B.A./B.S. degree preferred, not required

• Ability to work occasional weekends and evenings

• Ability to prioritize and get things done in a rapidly changing environment

• Must be able to balance the demands of a fast paced organization

• Must be able to lift 40 lbs.

• Must have a professional appearance and demeanor

• Must possess a valid driver's license
