TEN Arquitectos is currently looking to fill a full-time Office Manager/Bookkeeping position. This role is responsible for Bookkeeping functions, Office Management, and HR duties within the office.

Job Duties Include:

Responsible for a full cycle of receivables each month, including the preparation of invoices and reconciling of project revenue.

Work closely with Project Managers to ensure accurate client billing

Preparation of monthly invoices, AR/AP, business deposits, bookkeeping using Deltek Vision

Monitor studio Accounts Receivable and assist in collection efforts

Monitor and track project costs

Maintain organized project contract files

Assist Project Managers using the Deltek Project Management system; completes work plans in Deltek; including identification of project team members, budget, consultants, schedule for completion, fees and costs as well as project change notices or other actions taking place on the assigned project.

Preparation of project management reports.

Administrative functions including: pulling of invoice back-up, mailing, copying, and scanning.

Day to day operations: keeping the office organized, order supplies, operating as the organization’s gatekeeper

Human resource administrator, process payroll, onboarding, manage staff, disburse checks, handle reimbursements, benefits, 401K, plan and implement office protocols

Manage IT support, software, logistics, maintain electronic office filing, data entry.

Desired Skills and Experience

3-5 years’ experience (2 or more years of billing experience preferred).

Excellent written and verbal communication skills.

Excellent understanding of accrual accounting concepts.

Intermediate to advanced level experience with Microsoft Excel and Outlook.

Prior experience with either Deltek Vision required

Architect/Interior Design, Engineering and/or construction accounting experience a must

Knowledge of Government Invoices (DDC, NYCEDC and others)

Fluency in Spanish preferred by not required

This is a role with significant independence and requires a manager who is a self-starter, schedule-sensitive. This position requires good interpersonal and presentation skills, office management experience, and strong organizational and problem-solving skills
