SUMMARY: The Administrative Specialist will provide on-site administrative and periodic data entry technical support to the Allen Flight Program Service Center (FPSC) Program Manager and on-site Program Manager/Technical Manager. May handle minor problems but refers more difficult problems to manager for resolution. From time to time the Administrative Specialist will be required to back-up data entry personnel to complete specific assigned tasks of storing information with the help of computers in fixed time duration. In order to achieve this, the successful candidate must have good keyboard speed and the ability to interpret information fast and correctly. ESSENTIAL DUTIES AND RESPONSIBILITIES Specific tasks to be performed by the Administrative Specialist include but are not limited to the following: Primary duties include answer phones and meet and greet FAA ASF-60 dignitaries and visitors and then direct them to the appropriate work location. Providing local onsite administrative support and back-up data entry support to Allen FPSC Program personnel as required. Developing administrative processes and procedures to support the FPSC Program. Create and modify documents using Microsoft Office. Meet job-specific standards and production rates for each assigned task. Show attention to detail and follow instructions. Utilize teamwork, communication and time management skills while multitasking in a fast paced environment. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing and filing. Preparing special and recurring reports as required. Maintain and distribute staff weekly schedules as required. Support staff as required in assigned project based work. Advises supervisor of any issues to ensure excellent customer service. Other duties may be assigned. QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school diploma with a minimum of two years experience within professional office environment. Must be fluent in English. Must exercise independent judgment in the resolution of administrative problems in a timely manner. Prior experience in a fast paced office environment. Extremely detail oriented, precise, organized and able to work independently and manage/prioritize multiple administrative projects simultaneously. Must be punctual in all aspects of job performance. Must be proficient in the use of MS Office. OTHER SKILLS AND ABILITIES: Proven problem solving skills. Strong organizational habits. Excellent proficiency with Microsoft Office software suite. Must possess or be able to obtain an FAA security clearance. Must have good communications skills, both oral and written. PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Able to sit and work at a computer keyboard for extended periods of time. Able to stoop, kneel, bend at the waist and reach on a daily basis. Able to perform general office administration activities on a daily basis. Able to lift up to 25 pounds occasionally. WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Travel will not be required.
