The Maintenance Associate will perform over flow office duties for maintenance including word processing, spreadsheets, filing, and distribution of paperwork to appropriate areas within the company, as well as the monitoring and tracking of maintenance personnel attendance. The Maintenance Associatewill also create and modify existing SAP reporting to optimize preventive and predictive maintenance analysis.

ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned.

Scheduling for maintenance department personnel including tracking of vacation, personal time/days, tardy, etc. Issue reports and distribute to appropriate manager/supervisor. Organize and maintain the work, vacation, and training schedule of the department.

Work order creation, distribution, and closing along with reporting, tracking corrective, and preventive maintenance. Reports equipment dispositions for the maintenance department.

Completes word processing projects for maintenance department personnel.

Creates work forms, logs, and unique reporting tools, as requested by the departments.

Establishes or adjusts work procedures to meet maintenance schedules.

Maintains and updates the Technical Library.

Compiles data for completing month and year end inventory.

Administrative participation in the Machine Specialist program.

Administrative coordination of the small equipment budget expenditures, including purchasing and tracking. (Blanket Capital)

Recommends CMMS system changes for refinement and methods of expediting.

Optimize preventive and predictive maintenance techniques by continual assessment of current system tools and methods, making changes where appropriate, with the assistance of the IT department.

Assists in extracting information from the SAP system, when requested, for internal and external audits.

Receptionist’s duties when needed.

Enter MSDS in Master list and file in MSDS binder.

Process LOTO inventories.

Create course roster for LOTO training and for LOTO audits.

Back up to Inventory Control Specialist.

Point person for biohazard waste pick up / mail back and order supplies.

Coordinating maintenance department tech training and required training with HR.

CARR Tracking and follow-up with status to QA. Update MSDS binders.

Publish work order status on screen for all to view.

Publish Maintenance events impacting others on screen in lunch room.

Qualifications:
EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED) required. Six months to one year related experience and/or training; or equivalent combination of education and job related experience required. Technical degree in related field of maintenance systems or extensive background in maintenance practices and procedures involved with maintenance administrative tasks preferred.Training in World Class Maintenance objectives / practices preferred.

LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

OTHER SKILLS AND ABILITIES Proficiency with Microsoft Suite applications (Outlook, Word, Excel, PowerPoint) required. Computer knowledge in Kronos timekeeping. Proficiency in CMMS and SAP experience is preferred. Intimate knowledge of a computer maintenance management system. Proficient operating office equipment.Customer service oriented.The ability for multitasking.Strong communication skills.Comprehension of technical terminology, maintenance task related, required.Well organized with the ability to react to ever changing circumstances. Prioritizing daily tasks while filtering incoming requests for assistance.

REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
