Departmental Overview
As a Campus Shared Services (CSS) staff member, you will be a part of a management team of dedicated leaders and other professionals focused on providing the best to our customers and our staff. In CSS, you will always know what is expected of you to be successful. Positions will be clearly defined. As a CSS supervisor you will empower your employees to do their best work. You and your manager will talk about your skills, competencies, and expectations as well as those of your staff. Regular check-ins and feedback will be part of the performance management process.
Responsibilities
•Leads and oversees the coordination of non-immigrant visa and permanent residency applications with Department Administrators, HR Partners, international visitors, and the Berkeley International Office (BIO).
•Ensure appropriate workload distribution to each staff member for optimum efficiency and timely completion of work.
May carry an active workload to gGathers supporting documentation and UC Berkeley campus approvals/signatures; submits visitor information and supporting documents to Berkeley International Office (BIO) for assessment and processing.
• Serves as a resource to Visa team, CSS staff, and campus staff and /faculty.
Liaises with HR managers, supervisors, partners and explains immigration-related processes and procedures to recruiting department, employees and candidates.
Identifies and utilizes precedent-setting situations to recommend new or revised procedures and practices governing immigration processing at CSS.
• Maintain knowledge of current with laws, regulations, and procedures used in processing immigration-related applications.
• Serve as an escalation point and contact to all foreign national workers.
• Establish and maintain appropriate procedures to manage visa and immigration processing.
Coordinates with foreign nationals uploading immigration-related documents and submission to Berkeley International Office utilizing . online international visitor system data entry and management.
• Prepares, edits and modifies documents including visa and immigration documents, playbook instructions for handling visa/immigration responsibilities.
• Using subject matter knowledge collects and prepares information for use in internal discussion and meetings.
• Processes data entry into visa-specific database and internal tracking system, including but not limited to entry and completion according to established time-frames.
Required Qualifications
• Working knowledge of Immigration processes for a wide range of visa classifications (F1, J1, H1B, TN, etc), including PR cases.
• Manages a team who serve as the escalation point for clients requiring process/functional expertise. Assists assigned staff with work schedules and assignment of appropriate tasks.
• Owns the process mapping and playbook for their function. Ensure the effectiveness of their process. Participates in developing and monitoring operational and budget processes, staff FTE, finance, human resources and space planning.
• Serves as a liaison to internal and external functional authority (Central HR, UC Path, Vendors).
• Participates in the development and monitoring of policies and procedures for department or department operations. Determines implications from external policy changes and works with CSS internal groups to communicate.
• Trains and instructs staff to perform assigned tasks.
• Recommends hiring of new employees, salary actions, terminations, and performance ratings.
• Develops work schedules and appropriate assignments in consultation with manager.
• Responsible for creating a work environment that is inclusive.
• Working knowledge of personnel policies and applicable laws and regulations.
• Communicates effectively with a diversity of communication styles.
• Makes decisions regarding work assignments and scheduling of subordinates.
• Maintains an understanding of the unit goals and how this position supports those goals.
• Demonstrated ability to handle difficult or volatile situations/individuals effectively.

Education/Training:
• Bachelor's degree in related area and/or equivalent experience/training.
Preferred Qualifications
Supervisory experience of 2 or more years
Has working knowledge of the campus HR visa/immigration and information systems.
Working knowledge of common campus-specific and other computer application programs.
• Working knowledge of campus policies.
• Communicates effectively with a diversity of communication styles.
• Good understanding of employment laws that frequently impact the workplace.
