**Administrative Coordinator III** **\-** **\(** **150003AJ** **\)**

**Description**

SUMMARY OF POSITION:

Responsible for the coordination, planning, communication and appropriate expense tracking and processing of reimbursement for PACE as well as other training activities as necessary\. Coordinators will be responsible for one or more of the following focus areas: Clinical Champion Programs and Nursing Seminars; PACE&\#x2019;s Corporate Masters Classes; Professional Affairs; PACE&\#x2019;s Advanced Training Programs and Demo Product Requests\.

ESSENTIAL FUNCTIONS:

May coordinate all aspects of off\-site and on\-site events \(i\.e\. registrations, travel logistics, hotel accommodations, agendas, meeting planning, ordering event materials, catering/reservations, executing contracts, communications, processing payments, etc\.\)

Responsible for maintaining budget to include tracking of events, processing payments, tracking to rectify expenses and maintaining accruals while ensuring compliance to internal and external requirements\.

Maintain compliance and ensure related payments are compliant within Advamed Guidelines\.

Compile information from multiple sources to generate bi\-weekly, monthly, quarterly and yearly budget reports\. Generate focus area specific reports\.May generate event and HCP training reports\.

Coordinate the program surveys and generate reports based on survey results\.

Ensure that contracts, contract renewals, amendments and agreements meet all legal and compliance requirements, are approved by legal, and have proper approval signatures\.

Work with and collaborate with various internal departments to support activities that are consistent with company and department strategy\.

Communicate regularly with internal and external customers to support department and position specific projects\.

Assist in creating and implementing departmental process improvements that are specific the Coordinator role\.

May attend dinners and other functions relevant to position\.

Take on other specific responsibilities as determined by management

Nurse Program

Coordinate attendance information with Accrediting institution to generate CEU certificates\.

Grants Education:

Process Educational Grant submissions and communicate regularly with institutions regarding Grant receipt, status and payments\.

Organize and maintain documentation in accordance with company policy and ACCME guidelines\.

Analyze budget to ensure that all funds are aligned with approved agreements and track the distribution of funds to various organizations\.

Corporate Masters Classes

Establish and maintain the online registration site by establishing a link for each course, loading the course agenda, objectives, etc\.

Advanced Training

Maintain the Advanced Training contracted surgeon listing\.

Maintain PACE SharePoint Sites by adding, deleting and updating information\.

Work with Key Opinion Leaders who support Clinical Education initiatives, to establish program topics, collect presentations and ensure presentations are reviewed and approved by MARCOM in a timely manner, arrange lab needs based on KOL guidance, create binders based on KOL presentations, and provide post program surveys to KOLs\.

**Qualifications**

Education required/ preferred:

Bachelor&\#x2019;s degree; or Associate&\#x2019;s degree and 2 years of Physician Education experience; or 4 years of Physician Education experience\.

Background in healthcare education, conventions or meeting planning preferred\.

Experience:

Excellent knowledge of Microsoft Office including Outlook, Excel \(advanced\), Word and PowerPoint

Strong planning and organization skills

Must be efficient at multi\-tasking and time management

Excellent written and verbal communication skills

Strong interpersonal and relationship building skills\.
