**Summary:**

Responsible for performing numerous administrative responsibilities in support of clinical operations.

**Responsibilities:**

**Essential Duties and Responsibilities** include the following. Other duties may be assigned.

* Serves as the Medical Record Practitioner for the satellite clinic and is knowledgeable of the policies and procedures and has responsibility for the initiation, maintenance, security, storage and destruction of patient medical records.
* Answers the phone, forwards the calls to the appropriate person, or takes messages.
* Greets all patients and visitors and directs them to their appropriate destination.
* Creates memos, correspondence, reports, and other documents as requested.
* Operates the following office equipment: computer, copy machine, fax machine, postage machine (where applicable).
* Prepares outgoing mail and other shipments. Distributes incoming mail and packages. Maintains a supply of stamps and other mailing supplies.
* Collects and maintains the billing information for all in-center and transient patients. Verifies patient insurance and obtains pre-authorization when required.
* Completes 2728 forms for all new patients and submits within required time limits.
* Keys flow sheets daily, generates reports, balances charges, and checks entries for accuracy
* Forwards reports and backup documentation to Biller in the Jackson Business Office
* Forwards to Business Office all insurance/billing related information as required. Maintains a local Business Office file for each patient.
* Assists AR personnel by notifying patients about delinquent accounts and in collection of accounts as requested.
* Files forms and maintains records and logs required for Workers Comp injuries and OSHA reporting.
* Updates and maintains Accounts Payable Master Files and Vendor Master Files.
* Distributes manual purchase orders, maintains log of distributed purchases orders, processes check requests, matches invoices to receiving documents and PO's, and enters the information into the computer system for payment. Maintains computer generated PO’s and AR Receivers and processes for payment when invoices are received.
* Maintains and orders office supplies.
* Completes log of incoming checks and cash.
* Responsible for petty cash including disbursements, receipts, and account balance.
* Enters demographic information into the Business Information System (BIS) for new hemodialysis patient admissions and transients.
* Updates demographic information on current hemodialysis patients as needed.
* Verifies patient status daily (i.e. hospitalizations, missing a treatment, etc.).
* Prints new patient packet of forms for new admissions.
* Prints Transient Packet of forms before arrival of transient patients.
* Assist Social Workers and Dietitians with clerical work and patient transportation as requested.
* Assist Nurse Manager, Administrator and clinical staff with clerical work as requested.
* Gathers data for monthly statistical reports and inputs data into computer.
* Completes, submits, and files monthly and annual Network 8 reports and other required forms.
* Runs audit report and demographic report monthly and makes corrections as necessary.
* Attends Business Office Meetings twice a year.
* Assist with other special projects as requested.

**Education and/or Experience:**

* High school diploma or general education degree (GED)
* Three to six months related experience and/or training.

* Ability to type 45 wpm.
* Familiarity with a 10-key calculator by touch.
* Familiarity with medical terminology is preferred.
* Familiarity with a computer, Windows, Microsoft Word and Excel.

**Language Skills:**

Ability to read and interpret documents such as procedure manuals and instruction manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to patients and staff.

**Mathematical Skills:**

* Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
* Ability to balance information using basic principles of accounting.

**Reasoning Ability:**

* Define problems, collect data, establish facts, and draw valid conclusions.
* Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
