**Executive Floor Supervisor**

**The Executive Floor Supervisor represents The Fairmont Hotels and Resorts to the guest throughout all stages of the guest’s stay providing a consistent high quality of personalized service, and serves as the guest’s liaison for both hotel and non-hotel services. Must be sales-minded. Able and confident in responding to guests’ requests and concerns in a personal, prompt, and courteous manner with the ability to think “outside the box”. Supervising all contributing colleagues who provide services to Executive Lounge and Executive rooms to ensure that the appropriate service levels are provided and achieved at all times.

**Summary of Responsibilities:**Reporting to Manager, Fairmont Gold (Executive Floor), responsibilities and essential job functions include but are not limited to the following:

* Ensures all scheduled colleagues are present and proper grooming is followed at all times
* Ensures that all scheduled colleagues signed in on the sign in sheet
* Assigns stations for the butlers and daily duties for the concierges
* Ensures the schedule is made every Tuesday and send to Fairmont Gold Manager for review
* Updates the vacation plan on the shared drive
* Ensures that any overtime of offset accrued by colleagues is justified and approved
* Checks all tables, chairs and equipment on cleanliness and ensures that all is in proper working order
* Check par stock levels of all F&B; products daily
* Checks the requisition compared to the par stock and business levels
* Conducts shift briefings daily
* Supervises monthly F&B; inventory counts and coordinates with Accounting on the checks
* Supervises and checks monthly linen inventory count
* Supervises and checks the monthly cutlery, crockery & silverware count
* Ensures breakage reports are done accurately and submitted every Saturday
* Assigns rooms for the next 7 days (if returning guests the same room will be allocated as previously stayed in. Accommodates special requests whenever possible.
* Assists in pre-registration and allocation of rooms.
* Monitor all Profiles for arriving guests 7 days out en ensure that they are properly merged, FPC number and status are updated.
* Thoroughly understands and adheres to proper credit, and cash-handling policies and procedures.
* Understands room status and room status tracking, coordinates with housekeeping on arriving guest and queue rooms
* Knows room locations, types of rooms available, and room rates.
* Uses suggestive selling techniques to sell rooms and to promote other services of the hotel.
* Coordinates room status updates with the housekeeping department by notifying housekeeping of all checkouts, late checkouts, early check-ins, special requests and day use rooms
* Schedules butlers for Guest meet & greet and personally does meet & greet for VIPs
* Ensures Concierges do the 2 day pre arrival calls for all guests
* Monitors the reservations made yesterday
* Ensures VIP bulletins are send 3 days prior to VIP arrival
* Ensures temperature sheets are present and updated
* Ensures breakage sheets are present and updated, checks red bin for compliance
* Ensures that all notice boards are up to date
* Ensures that the concierges update the guest preferences in the guest profiles
* Trains new colleagues and supervises Executive Floor Concierges on daily duties
* Ensures that one Executive Floor Colleagues are put forward every month for Star Colleague of the month in Service plus
* Coordinates birthdays and special occasion celebrations for the team
* Coordinates team outings and schedules replacements
* Coordinates green team and OHS meetings/events and participation in hotel events
* Takes progressive corrective action where and when needed, within 24h of the event
* Performance log entries for issues not concerning guests (grooming, tardiness etc.)
* Discussion form for issues affecting guest satisfaction (not following SOPs etc.)
* Discussion form for issues that have reoccurred in the performance log 3 times in 6 months
* Assists the Fairmont Gold Manager in writing the performance reviews for all colleagues
* Ensures all colleague files are up to date
* Ensures all events during the sift are communicated through a hand over verbal if AM, written if PM)
* Coordinates bi weekly trainings, coordinates with F&B; for product knowledge trainings
* Writes and checks bi weekly quizzes

**Qualifications**

* Speaks English in ALL interactions. Only exception is when a guest initiates otherwise
* Possesses a working knowledge of the reservations department.
* Knows how to use front office equipment.
* Processes guest-check-outs
* Handles cash, and balances cash at the end of the shift
* Develops a strong knowledge of the hotel’s facilities and services and of the surrounding community
* Provides exceptional Concierge information to our guests about local and area attractions, restaurants, theatres, special events, tickets, confirmation and other available services
* Arranges secretarial and other office services if requested by guest
* Coordinates guest requests for special services with the appropriate department
* Strong and effective communication with all other departments, highlighting Executive Floor requirements to ensure proper level of service to our guests
* Handles guest complaints and solves problems to the degree possible
* Manages the Executive Floor guest history systems and ensures guest information is updated
* Uses proper telephone etiquette
* Uses proper mail, package, and message handling procedures
* Being a constant presence in Executive Lounge, ensuring that all guests are greeted in a courteous manner and are made to feel welcomed at all times, displaying a Maitre d’ style of guest interaction by interacting with tables in engaging and professional manner
* Maintains the cleanliness and reports deficiencies in the department and knowledge of all safety and emergency procedures.
* Reports any unusual occurrences or requests to the manager
* Participates in the orientation, meeting, and training process of all colleagues assigned to the department
* Understands that business demands sometimes make it necessary to move employees from their accustomed shifts to other shifts
* Performs supervisory duties or special projects at the direction of Fairmont Gold Manager
