Summary of Essential Job Duties:
* Under limited supervision this position uses advanced problem-solving and independent decision-making skills to manage the daily operations of the doctoral program and staff the doctoral center; provide student support and advisement and resolve complex student issues; coordinate events and workshops; collect and analyze program and student data and support program assessment activities; review and revise program policies and procedures; establish goals and processes for admissions and recruiting; oversee budget and financial aid. Serve as primary contact for doctoral students, prospective students, alumni, doctoral faculty, Dissertation Chairs and Committee Members, and other university offices.
* Advisement & Student Support:
Advise students on course sequence and benchmarks, financial aid, and student accounts. Alert program directors of potential issues with students and propose actions. Coordinate the development of support activities, including the Doctoral Colloquia, advisement meetings, writing and research workshops, software training, etc., to assure student success. Identify other student support resources and make referrals as necessary. Manage Doctoral Colloquia BlackBoard site and ensure student completion of course requirements. Control and authorize keystone activities including advancement to candidacy, graduation, pre-publication review of dissertation, online publication through ProQuestUMI, and authorizing Registrar to grant doctoral degree. Resolve complex student issues.
* Event Planning:
Oversee and participate in all activities for the doctoral program including, but not limited to, the Doctoral Colloquia, Sacramento trip, doctoral committee meetings, information nights and other recruitment activities, admissions interviews, orientation, advisement meetings, faculty professional development, guest speakers, commencement and other special events. Manage event communications and budgets. Ensure events meet intended program objectives.
* Assessment & Data Management:
Manage program data to inform decision-making. Maintain student records database from admission through degree conferral. Gather information and provide initial analysis for data-driven program decisions, including activities such as curriculum assessment, annual reports, accreditation, and other data requests. Track and report on student progress. Track trends in inquiries, admission profiles, employment during program, and post-graduate employment. Provide data to the dean, doctoral program directors, faculty, and other university offices as necessary. Coordinate assessment procedures and processes.
* Recruiting & Marketing:
Establish recruiting goals, create and implement recruiting plans. Manage all recruiting communications and respond to prospective students. Develop and distribute print and online marketing materials for targeted audiences. Maintain website.
* Admissions:
Manage complex doctoral application and interview processes. Act as liaison with the applicants, Graduate Division,SOEAdmissions Coordinator, and Office of the Registrar throughout the application process. Review and revise online application and application screening rubrics as needed. Review and assess all applications for completeness. Make recommendations for admission to program directors. Coordinate Selection Committee logistics/scheduling. Collect, maintain, analyze, and provide admissions data when requested. Communicate admission decisions to all applicants. Design online and on campus new student orientation.
* Program Policies and Procedures:
Develop, revise, and implement program policies. Annually review and update program policies and procedures in the Doctoral Handbooks and Dissertation Guide.
* Budget & Financial Aid:
Oversee and track program budget and make suggestions for budget enhancements and revisions. Independently make spending decisions. Track and submit request for faculty dissertation chair compensation. Determine financial aid awards for doctoral students based on student doctoral aid applications with input from program directors and manage financial aid spreadsheet and revisions. Coordinate financial aid awards with theSOEBudget Manager, Graduate Division, and Graduate Financial Aid. Advise students regarding the financial aid process.
* RepresentLMUat professional organizations or associations, conduct outreach across the university and within the local community, and serve on university and School committees as required. Perform other duties as assigned.
Experience:
* Minimum five years of progressively responsible experience in higher education program coordination and student academic advisement or equivalent.
* Demonstrated experience with research, publication, thesis and/or dissertation writing.
* Skilled in proofreading and editing practices.
* Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports and executive summaries incorporating complex, highly technical information.
* Highly developed problem-solving, independent decision-making, organizational and leadership skills.
* Demonstrated computer competency and preferably advanced knowledge of word processing formatting for high-level research publications and knowledge of database management and qualitative research software.
Required Education:
* Typically a Bachelor’s Degree or equivalent experience. Masters Degree highly desirable.
* Demonstrated knowledge in the areas of doctoral dissertation processes,APApublication guidelines, admissions, recruitment, and retention practices for graduate higher education.
* Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
