POSITION SUMMARY:
The Associate Director of Social Services is responsible for providing high-level administrative support ensuring the smooth workflow and daily operations of the social services department. This person is responsible for a variety of administrative and programmatic functions including management of financial requests and monitoring, training and onboarding, social services interns, and coordinating department meetings. In addition, the Associate Director will ensure programmatic compliance, monitor and help improve programmatic quality, and will oversee Department-related Policy and Procedure development.  These functions are critical to ensure that current programs are successful, renewed and re-funded, and that the Department is well positioned to apply for and secure additional grants-based support.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Work with program managers to ensure accurate completion of progress reports and timely report submission; assist program managers in the completion of reports.

Partner with QI and program staff to ensure completeness and accuracy of client-level and aggregate data, as well as timely submission of data to funders.

Oversee the monitoring of check requests, conference requests, mileage, and other expenditures for department staff

Take primary responsibility for the day-to-day functioning and management of the Adult HIV+ LTC and Support Services Team, and the Treatment and Retention Team, including supervising the managers of these two teams and leading the in goal setting and implementation based on the project work plan and other identified program objectives

Ensure the highest quality of care by working with interdisciplinary teams to: (a) develop and maintain program policies and procedures; (b) identify and eliminate barriers to care; and (c) participate in quality assurance activities, including internal audits, chart reviews, program evaluation, staff development trainings, and outcome analysis.

In conjunction with the Director of Social Services, serve as liaison with current and prospective partners including agencies, funders, and key stakeholders

Complete or request completion of all documents and requirements related to execution of new partnerships

Initiating, managing and routinely updating Memoranda of Understanding/Agreement with external agencies for department programs.

Oversee the Social Services Internship Program, including coordinating placements, organizing onboarding and training, managing clinical and site supervisors in their role as mentors and ensure the timely and accurate completion of work plans and intern related activities.

Facilitate the professional development of staff by coordinating the department’s internal training calendar including organization of presenters, food, space, and announcements.

Ensure appropriate documentation of professional development received by department employees.

Monitor and track client assistance requests through FEMA and Broadway Cares

In conjunction with the Director of Social Services develop and maintain all Social Services-related Policies and Procedures; ensuring program staff are aware of relevant policies and procedures through the receipt of documented, ongoing, routine training on relevant Policies and Procedures.

Initiate, manage and routinely update Memoranda of Understanding/Agreement with external agencies for department programs.

Represent the Social Services Department at HBH meetings and committees; represent HBH at local/state community meetings, workgroups, task forces, councils and forums, as well as at local and other domestic conferences, trainings & updates.

Migrate and update pertinent, department-related information on HBHC’s intranet and ensure the departmental website is up accurate and up to date.

Assist with grant applications and re-applications processes.

Attend training courses or take part in additional aspects of HBH’s work that are relevant to the work of the office of the Director of Social Services

QUALIFICATIONS, SKILLS AND ABILITIES:

Former experience with data management, reporting, and grants management desired.

Ability to prioritize a large and varied amount of administrative duties and deliver to tight time windows.

Superior organizational and planning skills.

Excellent writing and presentation skills, including the ability to write accurate and engagingly for a range of audiences.

Highly Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, and OneNote)

Excellent interpersonal, written and oral communications skills

Experience working with and providing services to LGBTQ-identified persons highly regarded.

Bachelor’s degree required.

WORKING CONDITIONS:

Space is limited and must be shared for most effective usage.

Sporadic periods of high stress and irregular hours.

Periodic evening and special events participation may be required.
