Job Purpose

• Provide secretarial support and effectively manage the administration functions of FDSA in a manner that ensures efficient service delivery within the Society.

Temporary Admin Officer Job Responsibilities In Kenya

• Co-ordinate the procurement of both goods and services. This entails following up requisitions, receiving the purchases and ensuring that they meet specifications

• Events and meetings organizing including fundraising events, Council meetings, AGM, etc. This entail booking venues, arranging for transport and accommodation, ensuring that the documents are circulated on time etc within the budget provided

• Liaise with the insurance supplier on the renewals of all Society equipment and that the Trustee insurances are done in a timely manner

• Liaise with the Company lawyers on all the Society’s legal issues as instructed by the Executive Officer e.g. when preparing Society agreements etc

• Supervise the Support staff (Driver and Office Assistant) to ensure effective delivery of services

• Maintain up to date personnel files of the Society Staff (excluding the Senior Management Team’s). This includes updated leave records, training information on next of kin and all other records as outlined in the Employment Act

• Coordinate the Society’s HR issues such as recruitment, training, performance management, the disciplinary process, etc. This will entail seeking technical advice as directed by the Executive Officer and providing administrative support as required

• Manage Society Petty Cash provided for local cash purchases as per the guidelines issued by the Finance & Admin department

• Develop and implement an efficient filing system that facilitates retrieval of the Society’s documents

• Perform the secretarial and reception duties for the Society; this includes managing correspondence, receiving visitors and manning the switchboard

Academic Qualifications

• Diploma in Business Administration or related course

Level of Experience

• 1 year experience in administration in a busy office

• Excellent communication skills
