JOB SUMMARY: The Travel Specialist - America’s position requires an individual that is flexible, self-motivating, and can work effectively with minimal supervision. As part of a small but efficient team, adaptability to change and a willingness to accept new challenges with a positive attitude are imperative. The role will report to the Americas Travel Manager with dotted line reporting to the VMO Procurement Manager – Marketing M&E, and will be responsible for handling traveler enquiries, contributing to VMO/travel team projects and initiatives and participating in regular team/supplier conference calls. This role will interact with staff at all levels across the Americas region.
JOB RESPONSIBILITIES:
Tasks will include, but not be limited to;
• Managing traveler enquiries on topics such as:
o Travel Profile navigation/troubleshooting
o OBT navigation/troubleshooting
o Accessing travel agency tools
o Pre-Trip approval troubleshooting
o Missing travel agency invoices
o Travel Agency Transaction fee queries
o Travel policy queries/compliance issues
o Preferred supplier queries
• Handling travelers requests for parity rates at customer hotels
• Participating in annual preferred hotel rate renegotiation process
• Writing/publishing traveler communications as needed
• Preparing analysis of reports downloaded from travel agency reporting tool to identify cost saving opportunities
• Promote and improve online adoption through traveler communication/reports review
• Participate in travel agency calls/meetings
• Participate in supplier calls/meetings
• Develop thorough understanding of travel tools in order to assist travelers/travel manager. Tools will include, but not be limited to;
o Travel agency portal
o Online booking tool
o Traveler profile tool
o Trip Authorization Tool
o Traveler safety and security tool
o Travel agency reporting tool
• Support VMO Procurement Manager – Marketing M&E, with administrative tasks and program management support (dotted line reporting, approximately 20% of time).
EDUCATION & EXPERIENCE:
• Undergraduate Degree or equivalent work experience
• Must have at least three years of experience working in the travel industry as a Travel professional in a large scale corporate environment.
• Must have experience of a multi-national corporate travel program.
REQUIRED SKILLS:
• Comprehensive knowledge of travel industry practices with ability to show how they impact business results.
• Experience creating high level management reports to demonstrate travel costs and savings measures.
• Ability to communicate at various levels within and outside the organization.
• Solid computer skills in Microsoft Office.
• Strong fiscal knowledge and the ability to develop detailed cost accounting spreadsheets.
• Strong project management skills.
• Proficient at managing multiple and shifting priorities, delivering timely and accurate work and responding with a sense of urgency as required.
• Demonstrated ability to take initiative, identify and define better processes, and work with minimal direction.
• Strong communication and moderate presentation skills.
PREFERRED SKILLS:
• Ability to work under pressure in a continually changing fast paced environment.
• Self- starter and able to work individually as well with and within an extended team.
• Conscientious, reliable, flexible with a professional and helpful attitude.
• Must be customer service focused.
• Business and political savvy.
• Excellent written and verbal communication skills. Spanish a plus but not necessary.
