Hays Education is working on behalf of a secondary school in Tower Hamlets, London that are looking for a School Data / Examinations Officer to cover a vacancy, starting as soon as possible.

MAIN PURPOSE OF THE JOB

To be responsible for the management of the College’s examinations and assessments.

To maintain and develop efficient and effective whole school information systems ensuring accurate and current data is available as appropriate in order to meet the MIS requirements of the College.

Taking charge of the academy’s assessment and reporting procedures including benchmarking, target setting and reporting to parents.

To manage the Data/Examinations & Assessment Officer, Invigilators and other staff as required.

Having responsibility for inputting into CMIS the Academy timetable.

To have a key role in strategic planning and formulation of the Academy Improvement Plan in relation to areas of responsibility.

Supporting the KS4 Options process.

Responsibility for PLASC return

Writing the relevant parts of the SEF.

DATA RESPONSIBILITIES

Developing and maintaining effective whole school information systems ensuring accurate and current data is available to meet the MIS requirements of the College.

Maintaining the security, accuracy and validity of data contained within the school’s MIS having due concern for data protection issues.

Taking appropriate steps to ensure that the MIS is ready for the beginning and end of each term; that necessary updates are carried out.

Producing the student data required by the Academy for internal and external use.

Preparing reports and presentations for a wide variety of audiences within the Academy.

The administration of all internal and external school tests and examinations.

Managing the Data/Examinations & Assessment Officer.

Preparing the CMIS system to allow staff to input and retrieve assessment data.

Analysing and reporting on school data, providing the Leadership Team, individual teachers and Governors with evaluations, as required, at whole school, year group, departmental or individual level.

Maintaining the student data tracking system, which enables teaching staff and others to monitor student progress across key stages and set challenging targets.

To be responsible for, in liaison with other members of staff, the completion of appropriate data returns to the LEA, DFE and other statutory bodies

Inputting of exam entries, forecast grades and control assessment marks when necessary.

The collection of data from Primary, or previous schools, for Primary transfer/MPA’s and for ensuring all results are recorded on the Academy’s database.

Assisting with timetabling, e.g. updating timetables, printing and checking accuracy of class lists.

EXAMINATION RESPONSIBILITIES

Responsible for the administration and organisation of all aspects of external examinations in accordance with the regulations laid down by the awarding bodies.

Implementing the College’s examinations system through effective administration procedures, in liaison with senior management.

Liaising with DOL’s regarding entries.

Submitting entries for external examinations and predicted grades to awarding bodies in advance of deadlines.

Liaising with the Special Educational Needs Co-ordinator (SENCO) regarding candidates with SEN; applying to awarding bodies for special arrangements for such candidates.

Disseminating information, answering enquiries and dealing with complaints regarding external examinations with staff, students and parents/carers.

Ensuring the safe receipt/custody/security of and organising examination stationery and materials, including question papers, in accordance with regulations.

Organising the examinations rooms in accordance with regulations.

Providing a centre timetable including dates, times, venues and number of candidates for the Senior Leadership Team.

Arranging and overseeing invigilation and supervision.

Liaising closely with the Senior Leadership Team over issues of invigilation and cover.

Resolving examination clashes in accordance with regulations.

Briefing candidates on examination regulations and producing written guidelines for staff and students; ensuring candidates are aware of their own examination timetables.

Briefing invigilators.

Managing the daily running of external examinations. This includes ensuring that all required materials are in the examination rooms for the start of the examinations and arrangements for candidates with special educational needs are in place.

Collecting and dispatching worked scripts in accordance with the regulations.

Being present in school on the days when results are notified, and overseeing the distribution of results to candidates.

Undertaking detailed analysis of examination results for the Academy at both KS3 and KS4 when the school is notified and informing the Principal and Senior Leadership Team as soon as administratively possible.

Liaising closely with the Principal and Senior Leadership Team to develop exam statistics that can be used for target setting, review and as a basis for raising student achievement.

Checking DFE and other examination statistics before publication.

Providing statistics/information on examination entries and results for the Principal, Senior Leadership Team, Governors, LEA and DFE, as appropriate.

Overseeing the checking and distribution of certificates/results.

Processing enquiries about results and requests for return of scripts.

Ensuring that costs of retakes, enquiries about results
