Convention registration for Gallifrey One 2015 — The 26 Seasons of Gallifrey One – will open on Friday, March 21.  Our 2014 convention sold out in twelve days; due to the huge interest in the 2015 event, we expect it to sell out earlier, although we make absolutely no guarantees about the amount of time it will take.  We will once again be selling 3200 tickets to the general public as we will not be increasing the size of the convention from our 2014 population.  We will also not be announcing any guests for the convention until this summer.

Gallifrey One 2015 will take place on February 13-15, 2015… and we are pleased to announce that, by popular demand, we will once again be hosting special pre-convention evening festivities on Thursday night, February 12 beginning at 9:00pm.  Please make sure to plan accordingly so that you can join us for our Thursday evening events.  (On-site badge pickup will once again take place beginning Thursday afternoon at 2:00pm.)

The following are some very important facts to get you through the rush for tickets for the 2015 event.  We encourage you to read these items carefully as they will also be included in the terms and conditions you sign upon purchasing tickets for the 2015 event.

Important Purchase Information

Registration for Gallifrey One 2015 goes on sale on Friday, March 21 at 10:00am Pacific Daylight Time (PDT).  This translates to 11:00am MDT / 12:00pm CDT / 1:00pm EDT for those in the US (if you are not on Daylight Savings in your area, please be sure to check your exact time.)  This also translates to 5:00pm / 1700 GMT in London, as the UK will not be on Daylight Savings Time during that time.

Convention tickets are $90.00 (US dollars) for all adults ages 17+, $45.00 for teens ages 12-16, and $10.00 for children ages 3-11.  Small children/toddlers under 3 only will be admitted without requiring a badge or any sort of space reservation and are not classified in these terms.  The $10 child 3-11 price is new this year in order to properly reserve space for the event.  It is important that you purchase a ticket for the age your child/teen will be at the convention and not the age he/she is currently.

Tickets for Gallifrey One 2015 are full weekend ONLY.  We will not be selling any single-day tickets for 2015.

A note about terminology: we use the terms membership, registration or tickets interchangeably; they all mean the same thing.  You do not have to be a prior ‘member’ to purchase a ‘ticket’… you simply pay the costs above.

Once again, we will be using our provider Member Solutions for registration; available purchase methods include VISA, MasterCard, American Express or Discover Card, or bank transfer.

Up to FOUR (4) tickets may be purchased during a transaction, in any combination of the three classes of tickets (adult, teen, child).  Should you need more than four tickets, you will need to begin a separate transaction… but please be aware of the restrictions on purchasing more than four tickets (see “Registration Transfers” section below).

Due to the high number of tickets that will be purchased in the first few hours, you should NOT expect to receive a receipt immediately (last year there were outgoing mail delays that took upwards of several hours).  Gallifrey One will be posting our initial registration list on our website for you to check later that afternoon.  Please do not immediately contact us; we ask that you wait for this posting to make sure.  However, note that credit card payment is considered a receipt.

How To Purchase Tickets

As soon as registration opens for the 2015 convention, we will be posting the link in two places: on our Registration page here on our website, and on our Facebook page (the main Gallifrey One page, not an event or group).  These two methods will bring you to our registration page at Member Solutions.  We will also post it on Twitter (but if you’re in a hurry, don’t wait for that!)

Terms and Conditions

As in previous years, Gallifrey One tickets can be purchased with the following provisos; your purchase of tickets to our convention is your express acknowledgement of these terms and conditions:

We do not issue refunds under any circumstances.  All sales are final.

We do not defer registration to subsequent years, except under extreme emergency circumstances (such as death in family or hospitalization) and only if a deferral is requested prior to five (5) days before the start of the convention; for future reference, weather issues are not grounds for deferral.  Such a deferral must be approved by our Board of Directors.

We do allow a ticket to be transferred to someone else, in case the original buyer cannot attend; see below for restrictions.

Registration Transfers

The ability to transfer your registration to another person if you cannot attend has remained a Gallifrey One ticket benefit and we are not discontinuing this process, although we are making some important changes — entirely to prevent the possibility of scalping, as well as hoarding of tickets from people who wish to actually attend.  Transfers happen entirely between individual parties; all we need is for the current ticket holder to fill out our online transfer form with information about the new ticket holder (including name and email address).  Please note the following:

Registration transfers will begin in October 2014 (date to be announced).  We will provide a separate Facebook page apart from our main convention page for ticket transfer requests and/or sales; until we open that page (which will likely be prior to that time) we ask that people keep our Facebook wall free of requests (so we can continue to provide convention updates and answer questions!)  Tickets can be transferred in advance until a cut-off date (to be announced) and then on site.  On site transfers are only provided if the buyer is physically present.

Tickets may only be sold to another party at the original cost of purchase.  Should Gallifrey One discover that the original buyer has (a) sold a ticket for more than original cost, or (b) posted a sale notice on eBay or other online websites, the ticket shall be declared null and void and the seller will be permanently restricted from buying a ticket to future events.

Upgrades are only permitted from child to teen or teen to adult prior to the convention by contacting us.  We will charge you the difference in cost.  Child to adult is not permitted.

TICKETS MAY ONLY BE TRANSFERRED ONCE.  This is an important change for 2015.  A second request in advance for transfer will not be honored.

Exception #1: A ticket can be transferred on site provided the current ticket holder is present regardless of whether it was transferred before; this one-time transfer restriction is not in effect at that time.

Exception #2: Parents can change the name(s) on teen or child tickets they have purchased without restriction (i.e. child cannot attend but family friend wishes to come)

Should a buyer purchase more than four tickets (i.e. four tickets initially, then additional tickets in a subsequent purchase), the fifth and all subsequent tickets will be ineligible for transfer; only the original four tickets will be eligible for a transfer.

Please note that we reserve the right to scrutinize any purchases that we feel attempt to circumvent these rules, especially regarding purchasing more than four tickets; we also reserve the right to take any action our Board of Directors deems warranted in such cases.

These transfer rules, including the restrictions on more than four tickets purchased, are simply to prevent widespread hoarding or purchase of large amounts of tickets to scalp or sell to friends.  Everyone attending or wishing to attend Gallifrey One deserves an equal opportunity to purchase a ticket, and our rules are designed to prevent imbalance.
