POSITION SUMMARY

The Public Relations & Special Events Executive will see to the conceptualization and execution of Special Events and the day-to-day follow-up on Press Requests. He / She will ensure that the Special Events are executed closely to prescribed brand guidelines that are operationally effective at Retail Store environment as well as maintaining administration of Special Events Inventory .The Public Relations & Special Events Executive must be able to expand networks and foster close relations with members of the Press and key influencers. Ultimately support and drive brand strategy to achieve brand growth.

ROLES & RESPONSIBILITIES

1) PUBLIC RELATIONS
* Prompt and close follow-up on press queries.
* Executes delivery of PR Samples to press in tandem with PR Calendar.
* Media pitching to secure press coverage.
* Foster excellent rapport with press and key influencers.
* Maintains media contact list and updates regularly.
* Administer PR inventory- ordering, tracking and storing.
* PR Samples and Freight charges tracking to ensure that inter-co billing is accurate.
* Consolidation and tabulation of monthly PR coverage including media clipping archiving.
* Prepares PR Clippings for Quarterly Press Submissions to New York
* Plan and support PR Activities tracking via the Master PR/ AR Calendar for APAC Monthly Activities Reporting
* Support the PR Manager to maintain & communicate Senior Artist Schedule and supporting Senior Artist administratively.
* Source and explore opportunities for events/partnerships collaborations.
* Prepare press release when necessary.

2) ARTIST RELATIONS
* Execute in the timely dissemination of the sponsorship products.
* Cultivating good relationship with freelance makeup artists.
* Maintains Artist Relations Calendar and co-ordinates schedules and manpower arrangement with AT&D, Retail Operations and Event Artists.
* Conceptualize and execute elements of Artist Relations Events (Fashion Show, Theatre workshop for casts) and making sure all stakeholders are being given accurate information for smooth execution.
* Prepares quarterly AR Highlights submission to New York.
* Administers M·A·C PRO Membership application and renewal on a bi-weekly basis.
* Expand and foster relationship with key influencers of the creative industry (Fashion, Entertainment and Art).
3) SPECIAL EVENTS

(a) Special Events Execution
* Conceptualize and execute Special Event in accordance to the guidelines and ensuring the highest of standard in delivering to end consumer.
* Liaise with Regional Special Events Manager on Event Creative Request.
* Executes the preparation of Special Events in areas that includes catering, model castings, set ups and logistical arrangements that involve parties such as suppliers, show choreographers etc.
* Communicate with the stores on Special Events matters with timely email notifications to inform and assist to enquiries by Store Managers.
* Sending out notification emails to Retailers and Mall Management for event set up and contractor security clearance and other special requests pertaining to the use of Retailers and Mall space.
* Liaise with press and key influencers to obtain press coverage.
* Charge out props and event materials from the Hub and co-ordinate the delivery to and fro the stores.
* Taking charge of invitation RSVP pre-event and to man reception booth during events.
* Disseminating Special Events related materials such as customer giveaways to stores and the delivery of Special Event Kits to event location.
* Manage post-event wrap up and co-ordinate delivery of event kit back to Office.
* Prepares post-event analysis (Special Events Feedback) for NY reporting.

(b) Special Event Administration
* Manage the stock keep of the Special Events Kit Cupboard
* Performs Event Kit checks during receipt and return post-event.
* Manage Event Kits maintenance including sending costumes to alteration and cleaning services when required.
* Tracking of Special Event Kit Incoming and Out-going and keeping record and related paperwork.
* Manage Shipping /Logistical related activity and to bill relevant parties on shipping charges of Event Kits.

Adhering to and setting the example for M·A·C policies regarding customer service expectations, image and dress code and M·A·C’s professional standards.

Qualifications:

REQUIREMENTS

* Minimum degree holder preferably with Marketing or Mass Communications major with at least 2-3 years of relevant experience.
*
Worked in marketing with events execution experience preferably in cosmetic or retail related industry.
* Good coordination skills and able to work with minimal supervision and independently.
*
Excellent written and spoken communications is a must with effective copy writing skills.
*
Resourceful and creative problem solving skill.
* Meticulous, highly organized, adaptable and able to perform a variety of tasks in a fast-paced environment, preferably in Cosmetic or Retail Related industry.
* Good follow-up skills, balancing between speed and detail accuracy. Result orientated.
* Analytical and numerate
* Professional attitude (encompasses positive, creative and energetic personality) and ability to embrace and deal with change.

This position requires excellent communication skills to be preformed on a daily basis. This position requires moderately light physical effort in Special Event. Some unpacking and packing of materials is required when supplies need to be sent to the store and even when Special Events are being executed.
