Job Title: HR Services Manager, Global Payroll

Main Job Purpose:

Provide Payroll expertise to local offices (including process, policy, technical and governance)

Act as a key driver of the global payroll strategy for area of responsibility, ensuring that Payroll strategies, systems, processes and policies, are consistently activated (including M&A, divestiture activity, financial controls, third party payroll relationships)

Roll out global projects in Payroll area – e.g. related to Global Mobility, Global Equity, new technologies, etc.

Build relationships with local payroll stakeholders to develop understanding and define major risks/gaps which could cause problems/issues. Define plans to reduce these major gaps/risks for local offices

Develop and oversee activities/plans required to mitigate/prevent country exposure to both internal and external risk. Capture, build and share internal and external knowledge. Actively engage in a Global Payroll Community of Practice.

Key Accountabilities:

Customer Service Management:

Manages the relationships with stakeholders and acts as the regional focal point to the Payroll

management community

Analyses feedback from Service Delivery Director, Finance, HRBP’s and Service Providers to evaluate the effectiveness of the Payroll solutions and continuously improve solutions to ensure the desired impact is delivered.

Monitors and reviews service level targets, works to resolve issues/problems escalated above local level. Drive improvements in service where metrics identify major/ongoing risks.

Pro-actively communicates service information and understanding. Provide input to monthly service review.

Interface with the Payroll and HR outsourced services providers at a regional level to ensure effective definition of and delivery of Payroll services.

Ensures (through relevant audits and reporting) that the Payroll systems, processes, policies and tools are compliant with Unilever internal-process standards and external regulatory requirements.

Capability building of extended payroll network and ensuring the local teams are fit for purpose.

Programme Management:

Define key activities required across clusters/local offices to drive payroll strategy. Identify and agree actions required with Service Delivery Director & key country stakeholders and expertise teams.

Support countries with advice and time when delivering local changes as a result of required projects.

Cascade global changes in a way that local offices can understand and implement (taking into consideration local legal requirements drive country alignment to global payroll strategy).

Gather feedback on the global changes and providing it back to the change originators, assisting them in further improvements of the solution design

Transition Management:

Is responsible for gate keeping key external relationships with regional Payroll vendors.

Supports/facilitates the transition of impacted payroll deployments via use of in country management

(e.g. provide expertise and governance to Country Project Leads, etc.)

Challenge and negotiate costing/pricing provided by providers to the benefit/betterment of Unilever.

Partner with procurement team and contract team for request for proposals for new payroll and/or HR solutions.

Operations

Strives for continuous improvement of service delivery in accordance with defined standards and co-ordination with the respective actors i.e. via country owners input.

Builds a network of external consultants and academic institutions to ensure that Unilever leverages best practice knowledge, solutions and products to Payroll Services

Shares internal and external knowledge and best practice

Drives more actions through the use of resources within the payroll services teams enabling achievement of E2E alignment with the other Business Services (ETS) services lines.

Proactively maintains an extended network of Unilever payroll leaders coordinating activities across multi-countries and serving as key contacts for the rollout of global initiatives, service improvement initiatives, global compliance and governance. The network needs to be kept alive through the use of monthly meetings, knowledge sharing of best practice and guest speakers to help broaden knowledge of other work streams within the E2E employee lifecycle.

Expertise and approval authority for payroll interfaces business process for insourced and outsourced payroll countries. Engage with country payroll team as an escalation point to assist in triage of complex challenges causing late or inaccurate payments. Builds an understanding of wider global payroll requirements to ensure that a change request is not approved in isolation without determining the E2E downstream impacts.

Skills/ Experience/ Qualifications:

University graduate,

Extensive experience within international operational Payroll,

HRM operations and excellent understanding of inter-related process and controls

Delivered major change projects across Europe / Globally

Service Provider management, Third party contracts compliance management with Sarbanes Oxley

Information management

Application and exploitation of information technology

Operations of outsourcing, preferably outsourcing Payroll

and HR

Experience of Payroll, HRM & Automated Time & Attendance systems applications and implementation

Additional Characteristics:

Strong relationship skills required to manage service providers and internal key Finance and HR stakeholders for payroll and Supply Chain stakeholders for Time & Absence management.

Understanding and interpretation of Labour legislation (collective industrial agreements, EBA’s etc)

Deep understanding of Payroll Administration and applied development methodologies. (E.g. business, technical and Vendor specifications, RFP’s, evaluations and deployment activities)

External orientation in the context of Payroll trends and benchmarking best practices in those processes.

Good understanding of working in multicultural environment
