## Job Summary/Basic Function

This position is responsible for enrollment services support in the following areas; registration, student fees, and financial aid. This position will ensure an integrated and collaborative role in the cross functional campus business transactions for the above services. This assistant director will manage and monitor the Center’s daily business to ensure quality and process improvement. This position will schedule and perform outreach opportunities for prospective, parents and current students during University events, UVC 101 presentations and Orientation. This position is also responsible for all internal and external communication. And, this position will also share responsibility for training staff.

## Minimum Qualifications

* Bachelor’s degree with seven years experience, including supervisory within a higher education environment such as; registrar, financial aid, student accounts or related areas.

* Effective problem solving skills, project management and excellent communication skills.

* Excellent Microsoft Office skills, including PowerPoint.

* Demonstrate leadership and team-building skills

* Ability to communicate effectively.

* Exhibit strong decision making skills.

* Capacity to make decisions independently after careful review of data.

* Display effective presentation and ability to be comfortable speaking in public forums.

* Ability to multi-task and encompass strong organizations skills.

## Preferred Qualifications

* Master’s degree with three years experience, including supervisory within a higher education environment such as; registrar, financial aid, student accounts or related areas.

* Experience with an ERP or integrated student software system; experience with Ellucian’s Banner is highly valued.

## Essential Functions and percent of time

30%: Communication and Outreach – Serve as outreach coordinator and presenter by scheduling opportunities needed/requested by the University and externally. Provide any updates or changes that need to be communicated to internal staff, external departments and/ or students.
Provide guidance to the director regarding navigation, relevant topics/events and suggested changes to the Center website on an ongoing basis. Assist with Center publications and media relations.

25%: Customer Service – Resolve issues involving registration, student account, financial aid and others without referring the student to home offices. Advise students of implications of changes and other events upon their registration, student account, financial aid and any other student transactions within the Center. Resolve complex problems, work with appropriate staff to develop and implement intervention strategies using professional counseling techniques. Advise students about student loans, promissory notes, student debt and the verification process. Act as liaison and/or referred agent between student and parent and home offices of the registrar, bursar, financial aid and other student services. Use active listening skills to emphasize importance of strong customer service. Recognize sensitivity of a diverse student population and appropriately respond to their needs.

20%: Supervisory – Select and supervise the Enrollment Services Graduate Assistant and Student Enrollment Services Student Assistants. Provide guidance and empowerment to Center staff to enable them to provide superior customer service. Create and promote a positive work environment through modeling behavior the staff will adopt. Provide direct and timely feedback to staff when providing services to students to maintain a high level of service. Re-allocate/shift human resources to the area of need during peak times and at other times when needed.
Approve and coordinate staff requests for days off and other attendance related issues.
Assist Director in hiring staff, as needed.

15%: Training – Assist in the development and maintenance of a policy and procedures manual for the Center. Develop, modify, and monitor training plans for staff to keep them current on regulations and trends within the integrated services. Assist Director in hiring staff, as needed.
Utilize various training methods including one-on-one, group presentations and online training to convey critical information to Center staff.

10%: Administrative – Attend meetings with other departments and student organizations that will shape policies and procedures for the department. Make presentations to these areas to explain the mission and objectives of the Center. Assist and assess departmental progress toward capacity of services and main goal of Center. Enforce University policies with regard to registrar, financial aid and student accounts. Ensure that Family Education Rights and Privacy Act (FERPA) regulations are followed and its effect on the release of information. Assist student with completing an authorization for third party access to account information. Employ professional judgment and decision making skills in the evaluation of holds to meet student service needs. Identify and refer students that require research and analysis of policy. Assist director in the monitoring and reviewing of the Center budget.
