## Job Summary/Basic Function

Provide assistance to the Dean of the College of Nursing & Health

## Minimum Qualifications

Bachelor’s degree and at least two years of related experience or an associate degree and four years of experience.

Strong communication skills (both written and oral); ability to provide leadership and direction and prioritize critical tasks; proficient in operating standard software PC applications (word processing and spreadsheets); ability to multi-task, work under pressure and adapt quickly and effectively to changes with minimal notice; maintaining confidentiality and using discretion is of the utmost importance.

## Preferred Qualifications

Working in academic setting and with diverse population is preferred.

## Essential Functions and percent of time

Manage the dean’s schedule allowing adequate time for each individual issue as well as travel time to events. Respond to inquiries from internal and external constituencies as appropriate. Make referrals as necessary. Organize meetings with multiple parties both within and external to the university. Schedule administrative team meetings. Provide a high level of customer service. Manage the dean’s travel. Support the work of the dean during annual evaluation period. Facilitate interaction with students, staff and faculty. (40%)

Oversee day-to-day activities of the office. Compose internal and external reports for the dean. Initiate, compose, and prepare correspondence as directed. Review all communication directed to the dean, including electronic mail. Anticipate both problems and opportunities and make the dean aware. Support the dean and the development officer designing and executing fund raising strategies and events. Maintain records for CCNE, Ohio Board of Nursing, institutional research and other entities including compliance documentation for faculty. Investigate, resolve, and redirect problems/concerns that come before the dean. Track and conduct follow-up on issues as appropriate. Facilitate movement of promotion and tenure dossiers; manage sabbatical leave requests and other personnel actions. Manage personal and dean’s procards. Maintain college employment files for faculty and staff. Provide support for college Promotion and Tenure committee and maintain appropriate files. Assist dean with preparation of college’s annual report. (30%)

High-level administrative support for activities originating in the Office of the Dean and within the college. Serve as the primary point of contact for the college university level committee appointments of the dean, the Office of the Provost, Vice-Presidents, President and other Deans. Carry out duties of position consistent with university policy and procedure. Demonstrate a high level of professional conduct. Identify processes for meeting quality improvement targets. Responsible for complex assignments and an overall standard of excellence for outcomes. Maintain college calendar, schedule special meetings and retreats, and prepare meeting materials as directed by the dean. Can work independently and is anticipatory. Maintain confidentiality. (20%)

Support all faculty and staff searches, prepare admin job posting, schedule interview, prepare offer letters. Work with business manager to coordinate on-boarding activities for new employees. (10%)
