Incumbent reads incoming correspondence, publications, regulations and directives which may affect Environmental Management Service; determines those which can be acted upon personally and takes necessary action; when required, uses initiative to obtain clarification of instructions or intent from originating offices or appropriate focal points. Determines which incoming items are of interest to the Chief and refers them accordingly. In other cases, refers items to the Assistant Chief, Principle Interior Designer , or supervisors within Environmental Management Service.

Incumbent takes and transcribes minutes for Environmental Management Service level meetings, to include: EMS Management, Functional Quality, All Staff, Textile Care, Waste Management, and others on an ADHOC basis; includes preparing agendas, distribution of minutes, and follow-up with responsible individual(s) on action items. Incumbent maintains control records on incoming correspondence and action documents and follow-ups on work in progress to ensure timely reply or action. Prepares and types (using computer) memorandums, reports, and/or other documents for Chief and/or other personnel, when deemed necessary.

The Chief of Environmental Management Service formulates and effectuates management policies in the field of labor-management for the Environmental Management Service. The incumbent has the responsibility maintaining confidential information and prepares documents which must not be shared in any manner with personnel outside of the Chief, without permission from the Chief, for example memorandums and correspondence regarding verbal and written counseling letters, admonishments, reprimands, grievances, suspensions, promotions, demotions, awards etc. The Incumbent reviews documents prepared for signature of or requiring coordination by the Service Chief.

The incumbent ensures conformance with regulations, spelling, punctuation, grammar, format, and special policies of the Service; returns such documents to originator for correction when not in conformance with known policies, or when correspondence regulations have not been followed. The incumbent Maintains accurate suspense/tracking system in the Environmental Management Service Office. Orders and delivers administrative and other operational supplies outside of the GIP system for the Sanitation, Waste and Interior Design Sections, Springfield CBOC, Lima CBOC, Middletown, CBOC, Richmond CBOC, Compensation and Pension, and the Emergency Department.

**BASIC REQUIREMENTS:**

Specialized Experience - GS-06:

Applicants must have One year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: a Secretary, Executive Assistant, Administrative Assistant, or Office Manager responsible for the office or department administrative functions using a variety of office software such as Microsoft Office, Excel, Access, etc., which has equipped the applicant with the specific knowledge, skills, and abilities to successfully perform the duties as described in this announcement.

There is no educational substitution for the GS-06 level.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. **Physical Requirements:** Work primarily occurs in an office setting at a workstation and occasionally a test bench. However there is some walking, standing, reaching, stooping, crawling, crouching, carrying of light items (25 pounds or less), and negotiating cramped working areas.
