Detailed Description Prepare and maintain a comprehensive database of validated and categorized media contacts with all relevant details.· Act as accessible resource that is available for press inquiries on both regular days of business and moments of sudden change or emergency.· Assist Press Office Unit Head in preparing a proactive media engagement plan, towards establishing and maintaining cordial relationships with media contacts, agencies and networks in target markets.· Assist in organizing press conferences within agreed timelines and budget. Take ownership for preparation of press kit and coordination for other arrangements. Document, upload on news center and archive for future reference.· Participate in planning and execution of projects assigned by Press Office Unit Head or Department Manager.· Take ownership of development and production of media monitoring reports.· Maintain a comprehensive record of external media requests and a filming/photography external request log.· Maintain QF Press Release archive, and forward periodically to Documentary for official archiving· Actively participate in daily department update meeting, sharing information and receiving updates in a streamlined, efficient way· Receive, review, and distribute QF in the News· Provide input into the media analysis section of the departmental Quarterly Report· Manage the Press Office Photo Library· Assist the Press Office Unit Head in management of the “Press Office” section of the QF corporate website with the exception of the QF Speakers Bureau, which is the responsibility of the PR Unit· Give inputs into the articulation of a social media strategy in line with QF communication strategy to maximize use of social media channels in promotion of QF. Review periodically.· Provide input into social media content development, working with other departments and external suppliers as required· Assist in the formulation and articulation of business plan for Social Media in line with Communication Directorate plans and participate in monthly business plan review with team.· Management of the QF Corporate Social Media Campaign and all related mini-campaigns· Present the QF Corporate Presentation to visiting media and other VIP guests of Qatar Foundation, time permitting· Ensure media interviews are accompanied by an Interview Brief and all mini-campaigns are accompanied by a Media Plan; draft relevant plans as needed· Ensurethat all Press Office services to the QF brand are documented and shared with the Services Specialist prior to agreed deadline.· Assist in monitoring and ensuring compliance to the departmental budget.· Support in identifying need for vendors/outsourced partners based on departmental work load and long term needs. Issue work completion certifications for Press Office specific vendors and conduct vendor/agency appraisals in a timely manner.· Participate in monthly business plan review with team.· Provide inputs to Press Office Unit Head for preparing/updating the vendor appraisal forms towards vendor management.· Participate in Operational review meetings with team to discuss Task List and report on status of existing jobs and projects.· Contribute in the formulation of SOPs for the Press Office including formats and policies.· Cooperate with Business Excellence Unit for process audits.
