Our client is currently seeking a Personal Assistant to the Chief Executive Officer.

Some responsibilities will include:

General Administrative duties:

• Screening telephone calls, enquiries and requests, and handling them when appropriate and welcoming the CEO’s guests;
• Liaising with clients, suppliers, advisors, shareholders, intercompany directors and other staff;
• Organising and maintaining the CEO’s diary and making appointments, and available time for CD & CFO on a daily/weekly basis to discuss issues;
• Word processing, dealing with correspondence, writing emails/letters and corporate documentations/SOP’s/policies, taking dictation, typing minutes and meeting reports;
• Organising and attending meetings, and arranging business trips and other travel arrangements (including flights and accommodations), ensuring the CEO is well-prepared for meetings/business trips, preparing meeting agendas.

Business Administrative duties:

• Carry out specific projects, research and administration as required by the CEO;
• Support the CEO with computation of quarterly/annual/other reports for the Board of Directors;
• Manage company corporate insurance policies . Professional Indemnity, Public Liability, and other liability insurances (with CEO, COO and suppliers).

Office Management:

• Manage the company’s Global HQ office in Dubai;
• Manage and administer office procurement and overhead spending as per budget;
• Compile and maintain a complete filing system for all company global policies;

Company Secretarial matters:

• Manage business registration licence renewal, notifying the CEO of renewal dates prior to the event to ensure business compliance with local laws
Business Development Assistance
• Assist the CEO in developing introductory profiles/proposals to new clients;
• Copy Edit/Proof Read all CEO’s documents/contracts/proposals/etc. prior to submission to ensure are maintaining the company’s and CEO’s exceptionally high presentation standards;
• Conduct research on items/companies/competitors/etc. as requested by the CEO.
