DEFENCE ATTACHÉ PERSONAL ASSISTANT AND VISIT COORDINATOR (PAVC) – (Full time) Permanent Position

(Gross monthly salary: from € 2634.52 paid in 13 monthly instalments)



Expressions of interest are invited for the position of Personal Assistant and Visit Coordinator. This position is based within the Australian Embassy in Paris and reports directly to Defence Attaché. The position is available from 7 July 2014 (start date flexible).

DUTY STATEMENT

Personal Assistant:

Provision of administrative support to the DA including: managing his diary, arranging meetings and booking restaurants and accommodation

Liaison with French and foreign military agencies and other Australian Government department representatives

Management of the Defence Office contacts database

Organisation of Defence office functions

Participation in representational events and commemorative events as requested by the DA and coordination of such activities, including wreath management

Visits Coordinator:

Coordination and management of programs for incoming Australian Defence Organisation visitors to France, and senior French visitors to Australia

Logistical support to incoming Australian visitors including hotel reservations

Management of Australian Defence Organisation and Defence industry security clearances to classified Defence and industrial establishments in France

Liaison during salons such as the Paris Air Show

Office Support:

Coordinate Defence movements, including responsibility for travel bookings and production of Defence Movement Requisitions

Translation (French to English, English to French) of official documents and correspondence

Primary interface for all Australian Defence-related enquiries between the Defence Office Paris, external organisations and the general public

Management of Defence representational gift supplies and gift register

Other duties as required.

Selection Criteria

Please note that all applications should specifically address each of the following points:

1. Demonstrated experience and proven ability in the provision of high level secretarial and administrative support

Superior communication skills in both French and English

Demonstrated ability to undertake tasks with minimal supervision, to set priorities and to meet deadlines

Work ethics and ability to function effectively in a position of trust

Initiative, enthusiasm, organisation and a commitment to excellence

Ability to work effectively and harmoniously in a small team; flexibility and high interpersonal skills required

Broad understanding of Defence operating structures is desirable

General Requirements for the position

1. This is a security-designated position. The selected candidate will be required to successfully complete a security assessment to the appropriate level. Applicants must be a national of Australia, New-Zealand, America, Canada, or United Kingdom to be eligible for an Australian Government security clearance. Persons holding dual French nationality with one of the above nationalities would not be eligible for a security clearance for this position. Applications that do not specifically address and satisfy this requirement will not be considered.

Candidates must submit a copy of a valid work permit/visa for employment in France.

Fluency in English and a high level of written and spoken French is essential. Applicants being considered for the position may be required to undertake, and if so pass at a high level, oral and written tests in English and French

Proficiency in Microsoft Office and Internet are essential. Applicants being considered for the position may be required to undertake a test to demonstrate their capacity to use such software

Applicants should be ready, willing and able to commence employment as soon as possible

A driver’s licence valid in France is desirable
