Job Summary:

Successfully assist event logistics associated with 1105 Media’s portfolio of events and conferences to include, but not be limited to: Execution of logistics, tracking event operations budgets, room sets, BEO’s, sponsor, exhibitor and attendee fulfillment.

Responsibilities:

Provide customer support to exhibiting companies and sponsors, responding to inquires and effectively communicating show rules, regulations, and best practices.

Oversee the sponsorship fulfillment process, ensuring deliverables are accurately communicated and deadlines are met.

Using Expocad, maintain up-to-date exhibitor contact information and floor plans, including contract entry, making necessary booth configurations, confirming assignments, and posting on-line.

In conjunction with the Program/Education team coordinate with session speakers to ensure proper room set-up and adequate equipment is ordered for each meeting room.

Responsible for the timely creation of the exhibitor service manual and any other exhibitor services correspondence required, including deadline reminders.

Manage on-site registration including registering attendees if necessary and supervising registration staff and equipment.

Assist with the preparation of show specifications for vendors and facilities.

Create requests for proposals and perform vendor and facility/site research.

Perform other duties as assigned.

Requirements:

The ideal candidate should have a bachelor’s degree and a minimum of 2-3 years of event planning and on-the-ground coordination experience.

Proficient with Microsoft Word, Excel and Outlook applications to include strong database skills.

Knowledge of Expocad event management software is ideal.

Excellent organizational and project management skills, with the ability to successfully coordinate several events simultaneously.

Excellent communication and superior customer service skills.

Maintain a positive attitude while working in a fast paced environment and taking on new challenges.

Availability to work extended hours as necessary.
